Job Description

Thomson Safaris is seeking a dedicated Reservations Officer to join its dynamic team in Arusha.

The Reservations Officer will be responsible for the comprehensive management of safari bookings, from the initial enquiry through to post-safari follow-up, ensuring clients receive the highest levels of service.

Key Responsibilities

Client Communication

  • Interact directly with agents, guides, guests and suppliers via telephone, email, Zoom and other communication channels.

Safari Management

  • Handle the entire booking process, including generating costings.
  • Make and manage third-party bookings.
  • Ensure all booking details are accurate and up to date.

Quality Assurance

  • Provide comprehensive and relevant information to clients.
  • Resolve logistical issues.
  • Recommend products and services that meet clients’ needs.

Financial Quality Control & Reconciliation

  • Cross-check supplier invoices and reserved services against confirmed guest itineraries.
  • Ensure precise quality control and eliminate billing discrepancies.

Park Permit & Payment Processing

  • Generate accurate park permits and payment control numbers for confirmed bookings through relevant government and community portals.

Efficiency

  • Respond promptly to enquiries.
  • Manage time effectively.
  • Ensure accurate and detailed itinerary suggestions are prepared within set deadlines.

Problem Solving

  • Monitor safaris in the field.
  • Address issues that arise during safaris.
  • Liaise with guides, clients and other stakeholders to ensure a smooth experience.

File Management

  • Maintain orderly and accurate files, both hard copy and digital.
  • Ensure timely handover and completion of safari arrangements.

Supplier Relations

  • Develop and maintain good relationships with suppliers to ensure the best possible service for clients.

Team Support

  • Assist colleagues and cover their work during absences.
  • Contribute to the overall efficiency and effectiveness of the department.

Requirements

  • Bachelor’s degree in Tourism and Hospitality Management or any related field.
  • Proven experience as a Reservations Officer.
  • Excellent communication skills and a proactive approach to client satisfaction.
  • Strong organizational skills and attention to detail.
  • Ability to multitask efficiently.
  • Flexibility to meet the demands of the tourism industry, including potential after-hours interaction.
  • Commitment to maintaining high standards of guest care and operational excellence.
