JOB VACANCY – WORKSHOP SUPERVISOR (FULL TIME – 100%)

Position Details

  • Direct Report: Logistics Manager / Logistics Team Leader (LTL)

Main Purpose

To supervise and monitor daily mechanical servicing activities at both capital and project level in accordance with MSF standards, protocols, and procedures, ensuring the efficient operation of the workshop and the mission’s vehicles and motorized equipment.


Key Accountabilities

1. Mechanical Operations & Fleet Management

  • Supervise and monitor daily mechanical servicing activities in compliance with MSF standards and procedures.
  • Ensure effective repair and maintenance of vehicles and motorized engines (generators, motor pumps, etc.).
  • Plan, organize, and supervise periodic servicing (corrective, predictive, and preventive) for all vehicles and motorized equipment in both capital and field locations.
  • Decide on urgent or unscheduled mechanical interventions based on logbook analysis.

2. Workshop & Safety Oversight

  • Follow up on logbooks and ensure safe working conditions within the workshop.
  • Supervise services performed by mechanics, assistant mechanics, drivers, and trainees.
  • Personally perform complex or specialized mechanical services when required.

3. Spare Parts, Tools & Stock Management

  • Identify, manage, and organize spare parts, consumables, fuels, lubricants, and tools.
  • Evaluate and liaise with local suppliers; place orders ensuring cost efficiency, quality, and timely delivery.
  • Monitor incoming and outgoing stock and report weekly stock levels to the line manager.
  • Ensure rational use of spare parts and continuous supply between capital and field.

4. Team Supervision & HR Management

  • Supervise and lead the logistics team under responsibility, including task allocation and quality control.
  • Prepare work schedules and organize team meetings.
  • Plan and supervise HR processes (recruitment, training, performance evaluation, and communication) for drivers and mechanics.

5. Reporting & Documentation

  • Prepare and submit monthly activity reports.
  • Ensure all vehicle documentation and inspection reports are properly completed and archived.
  • Implement reporting protocols to maintain accurate mechanical and fleet records.

6. Delegated Responsibilities

  • Perform any additional tasks delegated according to specialty and job description.

Context-Specific Accountabilities

  • Organize preventive and corrective maintenance of the project motorized fleet in collaboration with the logistics team.
  • Ensure full visibility of maintenance activities, spare parts usage, and consumables.
  • Centralize and analyze fleet data for service planning using established chronograms.
  • Implement and maintain administrative and archiving tools for garage management with support from the Fleet Manager.
  • Apply Standard Operating Procedures (SOPs) developed by the Fleet Manager.
  • Monitor workshop activities using standard management tools and ensure continuity of fleet management protocols.
  • Ensure availability, maintenance, and inventory tracking of workshop tools and equipment using Track My Stuff (TMS).
  • Conduct regular inventory checks of mechanical stock.
  • Prepare mechanical orders (ad hoc, monthly, quarterly, semi-annual, and annual) based on consumption trends.
  • Strengthen mechanics’ technical skills, including ABS braking systems.
  • Build basic mechanical maintenance skills among drivers, guards (generators), and logisticians.

Minimum Requirements

Education

  • Desirable: Bachelor’s Degree or Diploma in Mechanical Engineering or Automotive Technology
  • Essential: Valid Driving License and formal training in Mechanics

Experience

  • Minimum of 2–3 years’ experience in a similar position

Knowledge & Skills

  • Basic computer skills in Microsoft Word and Excel
