Job Summary
The Administrative Assistant will support the Regional Finance Manager and the Regional Director East/Horn of Africa (DVV International) in managing day-to-day administrative and logistical tasks. This includes assisting the Country Project Accountant with financial documentation, scanning and filing vouchers, storekeeping, procurement, and project planning activities.
Key Responsibilities
Administrative Tasks
- Provide general office administrative support.
- Maintain store records, ensure security of items, and update inventory lists.
- Label and organize office items appropriately.
- Attend to office visitors and respond to office telephone calls.
- Prepare correspondence, e.g., invitation letters.
- Manage office kitchen and sanitation items.
- Contribute to a well-organized filing system and maintain the Permanent File according to Marili standards.
- Record incoming and outgoing mail.
- Support procurement of items, venues, and equipment in line with Tanzanian national procurement regulations.
Finance Support
- Assist in financial clearance for partners and staff.
- Prepare and document payments.
- Support budget planning for project activities.
- Scan and file financial vouchers.
- Maintain financial files and archives in accordance with organizational Management Guidelines.
- Assist in audits and collaborate with the Country Project Accountant and Regional Finance Manager as needed.
Project Support
- Support planning and preparation of workshops, trainings, and conferences.
- Assist in documenting project activities.
- Establish and maintain a digital project filing system.
Education & Qualifications
- Advanced Diploma or Bachelor’s Degree in Business Administration or Accountancy from a reputable university.
Requirements
- Minimum 4 years’ experience in a similar role with INGOs in a development-related field.
- Knowledge of administrative, accounting, and reporting procedures in INGOs.
- Experience with office procedures and regulations.
- Excellent computer literacy and proficiency in Microsoft Office.
- Knowledge of computerized accounting software.
- Strong understanding of Tanzanian bureaucratic, tax, and administrative structures and regulations.
- Fluent in Kiswahili and English.
