Position Summary
The Assistant Administrator – School Office will support the smooth operation of the school office by ensuring efficient administrative services for staff and students. The role requires strong organizational abilities, attention to detail, and the ability to coordinate office activities effectively.
Key Responsibilities
Office Administration
- Ensure the smooth running of the school office so that teaching and administrative staff can perform their duties efficiently.
- Maintain adequate office supplies and stationery at all times.
- Ensure office machines (printers, copiers, etc.) are functioning properly and report any issues to the supervisor.
Academic Support
- Assist teaching staff with printing examination papers in preparation for exams.
- Provide stationery to students and employees as required.
- Support filing and documentation of student records in line with approved procedures.
Office Logistics and Coordination
- Handle office purchasing requirements and supply management.
- Receive and guide visitors to the appropriate offices.
- Assist in organizing scholarship application days and related logistics.
Reporting and Record Management
- Prepare monthly reports on stationery consumption, including:
- Photocopies
- Exercise books
- Pens
- Gate passes
- Printing usage
- Update daily staff and student attendance records using:
- Admin folder
- Email system
- iSAMs system.

- Highly organized and detail-oriented
- Strong communication and interpersonal skills
- Passionate about education and social impact
- Motivated to support efficient and well-organized office operations
Qualifications and Requirements
Education
- Diploma in Office Administration, Business Administration, or a related field
- Qualification must be from a registered and accredited college within East Africa
Experience
- Previous experience in an administrative role
- Experience in an educational institution where English is the language of instruction is an advantage.
Skills and Competencies
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to work independently and proactively
- Typing speed of at least 50 words per minute (50 WPM) (this will be assessed)
