Job Overview

The primary purpose of this role is to ensure that all governance processes and documentation are followed accurately, guaranteeing that all physical inventory movements are correctly recorded in Syspro.

This includes managing raw materials, finished goods, containers, and pallets while maintaining accuracy, compliance, and operational efficiency.


Key Responsibilities

1. Inventory Reporting

  • Adhere to all pre-stock take processes and procedures
  • Print and execute pre-stock take reports
  • Ensure all adjustments are completed prior to stock counts
  • Maintain a clean GIT account before stock counts, with proper sign-off for entries
  • Facilitate daily, weekly, and monthly stock counts
  • Ensure stock counts meet company standards and resolve variances
  • Maintain and configure handheld stock devices where applicable
  • Investigate and report stock variances daily
  • Post authorized variances to correct accounts
  • Compile stock take reports and obtain sign-offs
  • Monitor compliance with Inventory Policy and implement improvements

2. Shipment Reconciliation

  • Ensure all goods issues are processed for deliveries and corrections
  • Verify all delivery notes are accounted for
  • Review and sign off missing or unsigned invoice registers
  • Maintain proper filing of load plans and gate registers
  • Resolve invoice discrepancies
  • Follow up on all T1 GIT shipments not received

3. Packaging Interface

  • Reconcile daily inventory issued to and received from packaging
  • Conduct weekly cullet reconciliation
  • Reconcile issued containers against packed volumes

4. Distributor Stock Management

  • Conduct surveys for missing, broken, and foreign stock
  • Capture survey results daily
  • Communicate discrepancies to customers and ensure cost recovery
  • Verify returns and ensure accurate inventory updates
  • Approve and file reconciliation reports with the logistics manager

5. Pallet Repair & Management

  • Manage pallet repair and destruction processes with cost tracking
  • Oversee contractor performance, reconciliation, and payments
  • Ensure adequate pallet availability for production
  • Track pallet movement and usage per customer
  • Conduct weekly pallet counts
  • Review and update pallet management SOPs annually
  • Develop annual repair budgets with clear KPIs

6. Product Quality Management

  • Apply FEFO (First Expired, First Out) principles
  • Ensure compliance with stock age policies
  • Enforce product recall procedures
  • Isolate and block defective stock in Syspro
  • Participate in weekly quality meetings
  • Analyze customer feedback and implement corrective actions

7. People Management

  • Align shop floor teams with performance goals
  • Conduct monthly one-on-one reviews
  • Maintain strong stakeholder relationships
  • Promote open communication channels
  • Address engagement survey outcomes with action plans
  • Support recruitment and talent pipeline development
  • Conduct performance reviews and manage disciplinary processes

Minimum Requirements

  • Diploma or Degree (minimum 3 years) in a relevant field
  • 2–3 years’ experience in warehousing or inventory management
  • Computer literacy
  • Experience with IBIS/Syspro is an advantage
  • Proficiency in Microsoft Office (Excel, PowerPoint, etc.)
