POSITION: EXPORT OFFICER
Job Summary
The Export Officer will be responsible for managing and coordinating all export activities related to tobacco products. This includes ensuring compliance with international trade regulations, preparing export documentation, coordinating shipments, and maintaining strong relationships with international buyers and logistics partners.
The role ensures that all export processes are conducted efficiently, legally, and in accordance with company policies and international standards.
Key Responsibilities
1. Export Documentation
- Prepare and process export documents including:
- Commercial invoices
- Packing lists
- Certificates of origin
- Phytosanitary certificates
- Bills of lading
- Ensure accuracy and compliance with import/export regulations
2. Export Coordination
- Coordinate with shipping companies, freight forwarders, and clearing agents
- Ensure timely shipment of tobacco products
- Monitor export schedules and meet delivery deadlines
3. Regulatory Compliance
- Ensure compliance with Tanzanian export regulations and international trade laws
- Liaise with relevant authorities, including:
- Tanzania Revenue Authority (TRA)
- Tanzania Tobacco Board
4. Customer and Market Coordination
- Communicate with international buyers on orders, shipment status, and documentation
- Handle export inquiries and resolve shipment-related issues
5. Logistics Management
- Arrange transportation and cargo bookings
- Coordinate with warehouses and logistics partners
- Track shipments and ensure proper handling of consignments
6. Record Keeping
- Maintain accurate records of export transactions and documentation
- Prepare export reports for management review
7. Cost Control
- Monitor export-related costs (freight, insurance, documentation fees)
- Support negotiation with logistics providers for cost efficiency
8. Risk Management
- Ensure adequate insurance coverage for export consignments
- Identify and mitigate risks in export operations
Qualifications and Requirements
- Bachelor’s Degree in:
- International Trade
- Logistics
- Supply Chain Management
- Business Administration
- Or related field
- Minimum 1–5 years experience in export operations (preferably in agricultural commodities or tobacco)
- Strong knowledge of export documentation and international shipping procedures
- Familiarity with customs processes and international trade regulations
- Knowledge of compliance frameworks such as the World Trade Organization (WTO) is an added advantage
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong communication and negotiation skills
- Excellent organizational and problem-solving abilities
- Ability to work under pressure and meet deadlines
