JOB DESCRIPTION: Logistics and IT Officer
Department: Administration / Operations
Location: Tanzania
Job Summary
The Logistics and IT Officer supports the efficient functioning of the organization by managing logistics operations and maintaining reliable IT systems.
The role involves coordinating procurement, managing office equipment and facilities, supporting official events, and ensuring smooth administrative services. Additionally, the officer oversees IT infrastructure, provides technical support, and ensures digital systems operate securely and efficiently.
Working closely with internal teams and external partners, this position contributes to maintaining high operational standards that support diplomatic, cooperation, and administrative activities.
Key Responsibilities
1. Arrival and Departure Administration
- Manage arrival and departure procedures for staff and expatriates
- Facilitate issuance of required documentation, including:
- Resident permits
- TIN certificates
- Diplomatic IDs
- Driving licences
- Motor vehicle registrations
- Prepare Note Verbales to the Ministry of Foreign Affairs and East African Cooperation
- Liaise with movers and clearing & forwarding agents for shipment clearance
- Prepare and obtain approvals for PRO6 documentation
- Secure special permits from relevant authorities when required (e.g., medical, standards, natural resources, livestock/pets)
2. Office Vehicle Management
- Oversee the vehicle fleet management system
- Maintain accurate vehicle logbooks
- Prepare quarterly billing for private vehicle use by expatriates
- Ensure transparent fuel procurement and liaise with suppliers
- Coordinate vehicle servicing, repairs, and maintenance
- Prepare quarterly reports on fuel usage and maintenance costs
- Maintain vehicle tracking systems
- Provide strategic guidance to transport staff for efficient service delivery
3. Fixed Assets Management
- Maintain the fixed asset register and inventory of office supplies
- Verify all procurement of office materials and equipment
- Conduct annual physical inventory of all assets
4. Information and Communication Technology (ICT)
- Maintain and support the Local Area Network (LAN)
- Manage user accounts and email administration
- Oversee acquisition and maintenance of hardware and software
- Provide ICT support and troubleshooting assistance to staff
Education and Qualifications
- Bachelor’s Degree in Procurement and Logistics or related field
OR - Diploma from a recognized institution in a relevant discipline
- Strong command of English and Kiswahili (written and spoken)
- Knowledge of French and/or German is an added advantage
Experience Requirements
- Minimum 5 years of professional experience, including:
- At least 2 years in logistics or procurement management
- Experience working with a diplomatic organization is an added advantage
