Position Overview
We are seeking a proactive and detail-oriented Administrative Assistant to support daily office operations and ensure smooth coordination across departments.
This role is ideal for someone who thrives in a fast-paced environment, is highly organized, and can multitask while maintaining professionalism.
Key Responsibilities
Office Administration
- Manage daily office operations to ensure efficiency and organization
- Maintain a clean, functional, and well-coordinated work environment
Scheduling & Coordination
- Arrange meetings, appointments, and travel logistics
- Coordinate staff schedules and activities
Communication Management
- Handle incoming calls, emails, and correspondence professionally
- Act as a communication link between departments
Document & Records Management
- Maintain accurate filing systems (physical and digital)
- Organize, archive, and retrieve documents as needed
Reporting & Documentation
- Assist in preparing reports, presentations, and official documents
- Compile and organize materials for office use
Front Desk & Office Support
- Welcome visitors and manage reception area
- Ensure visitor logbook is properly maintained
Office Supplies & Equipment
- Monitor and order office supplies
- Ensure office equipment is functional and arrange maintenance
Data & Database Management
- Perform accurate data entry and maintain internal systems
- Update records and databases regularly
Meeting & Event Support
- Prepare meeting agendas and take minutes
- Follow up on action points
- Support organization of events, workshops, and training sessions
Procurement & Logistics
- Assist with procurement processes (quotations, purchase orders)
- Coordinate travel arrangements and logistics
Compliance & Confidentiality
- Ensure adherence to company policies and procedures
- Maintain confidentiality of sensitive information
Health & Safety
- Ensure the office environment meets basic health and safety standards
Qualifications & Requirements
- Bachelor’s degree in:
- Business Administration
- Office Management
- Or a related field
- Minimum 2–3 years’ experience in an administrative role
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- High level of professionalism, integrity, and attention to detail
- Ability to work independently and within a team
- Strong time management and problem-solving skills
