JOB DESCRIPTION

JOB TITLE:                Overseas Tour Operator
EMPLOYER:               Ranger Safaris Ltd
DEPARTMENT:        Transportation

DUTY STATION:     Arusha, Tanzania (including travel to national parks, game reserves and     conservation areas and any other assigned destination).

JOB PURPOSE

To design, sell, and coordinate customized safari experiences for international clients by managing the entire booking lifecycle; from inquiry handling to post-booking support; while ensuring high-quality service delivery and client satisfaction.

KEY DUTIES AND RESPONSIBILITIES

1. Client Engagement and Sales

1.1  Handle client inquiries (email, calls, agents, direct clients) in a timely and professional manner.

1.2  Build and maintain strong relationships with prospective international travelers, local

sales and agents.

1.3  Consult with clients to understand travel needs, including:  Number of travelers, travel dates and duration, budget expectations, interests and preferences (luxury, adventure, family, honeymoon, etc.)

1.4  Provide expert advice on destinations, safari experiences, and travel options.

2. Itinerary Planning and Customization

2.1  Design customized safari itineraries tailored to individual client needs and expectations.

2.2  Process Flying Doctor’s Membership cover as shall be required.

2.3  Check availability; negotiate bookings with lodges, camps and other accommodation providers. Recommend suitable parks, routes, accommodations, and activities.

2.4  Ensure itineraries are logistically feasible and cost-effective.

2.5  Continuously update knowledge of destinations, seasonal variations, and tourism products.

3. Costing and Proposal Development

3.1          Prepare accurate and present detailed proposals and cost breakdowns to clients.

3.2          Develop detailed travel proposals including:

    1. Day-by-day itinerary or as per the given travel schedule.
    2. Accommodation details
    3. Inclusions and exclusions
    4. Pricing breakdown

3.3          Revise itineraries based on client feedback and finalize travel plans.

3.4          Present proposals clearly and professionally to clients.

4. Booking and Supplier Coordination

4.1  Check availability with lodges, camps, airlines, and other service providers.

4.2  Secure bookings with suppliers.

4.3  Confirm bookings and coordinate all travel arrangements once the clients approves.

4.4  Coordinate all travel arrangements with:

  1. Lodges and/or other accommodation providers.
  2. Transport/driver-guide teams.
  3. Internal operations and reservation teams.

5. Regulatory and Park Fee Processing

5.1  Prepare and process park fees for all bookings through:

  1. Tanzania National Parks Authority (TANAPA) system.
  2. Ngorongoro Conservation Area Authority (NCAA) system.
  3. Tanzania Wildlife Area Authority (TAWA) – WMA permits.

5.2  Ensure compliance with all park regulations and entry requirements.

5.3  Maintain accurate records of permits and payments.

6. Operations and Booking Management

6.1  Liaise with transport departments, lodges, and other suppliers to ensure smooth operations.

6.2  Maintain accurate booking records in internal systems.

6.3  Monitor all confirmed bookings to ensure timely execution and service delivery as planned.

6.4  Ensure all travel documents, vouchers, and confirmations are properly prepared and shared.

7. Client Support and Experience Management

7.1  Provide ongoing support to clients before arrival and during safari experience.

7.2  Handle changes, emergencies or special requests promptly.

7.3  Ensure seamless travel experience from arrival to departure.

8. Quality Control and Reporting

8.1  Follow up on completed trips to gather feedback.

8.2  Address complaints and implement service improvements.

8.3  Maintain high standards of customer satisfaction.

9. Collaboration and Internal Coordination

9.1  Work closely with sales, finance, and operations teams.

9.2  Ensure alignment between itinerary design and operational execution.

  1. Perform any other duties assigned or delegated by the Employer.
  2. Key Performance Indicators

11.1 Inquiry response time.

11.3Conversion rate (inquiries to bookings)

11.3 Accuracy of costing and itineraries

11.4 Client satisfaction ratings

11.5 Number of confirmed bookings and revenues generated

 

  1. Key Skills and Competencies

12.1 A Certificate or Diploma in Tourism, Wildlife Management, or a related field

12.2 Strong knowledge of safari destinations and tourism products.

12.3 Excellent communication and customer service skills.

12.4 Advanced itinerary planning and costing skills.

11.5 Negotiation and supplier management.

11.6 Attention to detail and organizational skills.

11.7 Problem-solving and ability to handle pressure.

11.8 Proficiency in Excel and booking systems Fluency in English, proficiency in additional   languages (such as French, German, or Spanish) is an added advantage.

 

  1. Qualifications and Experience

12.1 Certificate, Diploma or a Bachelor’s degree in Tourism, Hospitality, Business, or other related field.

12.2 Minimum of 2-5 years of experience in tour operations or travel consulting.

12.4 Experience handling international clients preferred.

12.5 Familiarity with Tanzanian tourism regulations and park systems.

13.1 Microsoft Excel (costing, tracking, reporting)

13.2 Booking/reservation systems

13.3 Email and Customer Relations Management systems

13.4 Park management systems (TANAPA, NCAA and WMA portals)
