Key Responsibilities

HSEQ and Safety Management

Responsibilities include:

• Applying Safety Management Systems in daily operations
• Ensuring compliance with HSEQ standards and procedures

---

Taxes, Wharfage and Customs Payments

The successful candidate will:

• Ensure timely processing of all fuel-related taxes
• Process manifest comparisons and wharfage payments
• Prevent penalties caused by delayed payments
• Avoid delays in transit parcel evacuation
• Prepare monthly tax forecasts for Treasury
• Assess taxes according to customs procedures
• Ensure GTL/TTL parcels are not discharged into incorrect depots
• Maintain zero penalties for late tax payments

Wharfage and Additional Taxes

Responsibilities include:

• Completing manifest comparisons
• Processing claims for overpaid fuel taxes
• Managing payments for additional taxes
• Ensuring timely wharfage payments
• Preventing delays in transit parcel uplift

Loading Nominations

The role involves:

• Receiving loading nominations from suppliers such as:
  • TEMA
  • TOTSA
• Verifying consignee details
• Confirming stock availability
• Coordinating with Customer Services for loading orders

---

Transit Product Age Reports

Responsibilities include:

• Monitoring loading limit days for transit parcels
• Sending weekly age reports every Monday
• Requesting extensions from TRA before expiry deadlines
• Preventing product localization issues

---

Transit Documentation

The successful candidate will:

• Coordinate smooth transit loadings
• Complete documentation on time
• Track transit trucks closely
• Ensure:
  • Border validation
  • Bond cancellation
• Report pending items monthly with action plans

---

Localization Duties

Responsibilities include:

• Processing taxes and wharfage for localized products
• Following up with TRA for bond cancellation

---

Customs Queries

The role includes:

• Handling customs-related queries promptly
• Managing customs audit matters
• Supporting resolution of regulatory issues

Transit Documentation Communication and Reconciliation

Responsibilities include:

• Sharing required documents with transit customers on time
• Providing:
  • Outturn reports
  • Quality and quantity certificates
  • Loading summaries
  • Pump-over reports
• Completing vessel reconciliations
• Supporting accurate stock reconciliation processes

Notice of Intention Coordination

The candidate will coordinate with:

• Depot Managers
• Supply Teams
• Hospitality Assistants

to ensure:

• Notices of Intention are approved by TRA
• Approved documents are properly filed
• Hospitality customer processes are covered

Hospitality Support Duties

• Surveyor nominations for vessel inspections
• CTF requests
• Other Hospitality section duties
