Job Purpose
To support the implementation of Human Resources policies, procedures, and administrative functions while ensuring efficient, client-focused, and strategic HR service delivery.
The role provides practical exposure to recruitment, onboarding, employee records management, HR reporting, and staff support services.
Key Responsibilities
HR Support Services
- Respond to general HR inquiries and follow-up actions.
- Assist in delivering consistent and high-quality HR services to staff.
- Provide administrative support for various HR activities.
Recruitment & Staffing Support
- Support recruitment and selection activities.
- Assist in onboarding new employees in accordance with WFP procedures.
- Prepare recruitment-related documents and reports.
Employee Records Management
- Maintain confidential personnel files and records.
- Update and manage HR databases and archives.
- Ensure accurate storage and maintenance of employee information.
HR Documentation
- Draft and prepare:
- Employment contracts
- Transfer letters
- Training documents
- Other HR-related correspondence
- Ensure documentation accuracy and timely completion.
HR Data & Reporting
- Extract and compile HR data relating to:
- Recruitment and selection
- Contract management
- Staff entitlements
- Performance management
- Training requirements
- Support HR analysis and reporting needs.
HR Systems Administration
- Enter and update information in HR management systems.
- Monitor important HR deadlines such as:
- Contract expirations
- Performance evaluation schedules (PACE)
- Other staff-related deadlines
- Ensure compliance with established HR procedures.
Staff Deployment Support
- Assist with staff deployment and related administrative processes.
- Prepare reports and documentation supporting workforce planning and emergency response operations.
Team Collaboration
- Liaise with internal departments regarding:
- Payroll
- Contracts
- Staff administration
- Other HR matters
- Support knowledge sharing and training of colleagues where required.
