Job Purpose
The Account Payable Administrator will be responsible for efficiently and accurately managing the company’s accounts payable processes. This includes processing, verifying, recording, and settling supplier invoices and payments while ensuring compliance with company policies, financial controls, and statutory requirements.
The position will report to the Team Leader – Account Payable.
Key Duties and Responsibilities
- Handle routine accounts payable administrative tasks and maintain well-organized records.
- Prepare and review creditors’ reconciliations to ensure all transactions are accurately accounted for.
- Compile and reconcile monthly creditors ageing reports and GRIR files.
- Investigate and resolve blocked invoices to ensure timely processing.
- Provide documentation and support during internal and external audits.
- Verify PO and invoice dates for accuracy and compliance.
- Manage and clear Goods Receipt/Invoice Receipt (GRIR) discrepancies.
- Resolve ZMIR 6 discrepancies and related queries.
- Respond to and resolve supplier queries promptly.
- Liaise with vendors to address invoice and payment issues.
- Coordinate with Genpact, Iron Mountain, and Procurement Support on relevant accounts payable and procurement matters.
- Ensure accurate and timely processing of supplier payments.
- Maintain compliance with financial controls, governance requirements, and segregation-of-duties principles.
Qualifications
Required
- Bachelor’s degree in:
- Accounting
- Finance
- Commerce
- or a related field.
- Strong knowledge of accounting principles, accounts payable processes, and financial controls.
- Proficiency in Microsoft Office, particularly Microsoft Excel.
- Familiarity with ERP or accounting systems.
Added Advantage
- Professional accounting qualification such as CPA (T), ACCA, or equivalent.
Experience Required
- 2–3 years of relevant experience in:
- Accounts Payable
- Accounts Receivable
- Finance
- Accounting
- or a related finance function.
- Experience in a large, fast-paced FMCG or multinational organization is preferred.
- Proven experience in:
- Invoice processing
- Supplier account reconciliation
- Payment processing
- Maintaining accurate financial records
- Experience using ERP/accounting systems and handling high volumes of financial transactions.
- Understanding of financial controls, compliance, and audit processes.
- Experience resolving invoice discrepancies and payment-related queries with suppliers and internal stakeholders.
- Experience working in an environment with strong governance, controls, and segregation of duties is an added advantage.
