Job Overview
The Administrative & Operations Officer will support daily administrative, financial, and operational functions of Panthera in Tanzania, while also providing HR support when required.
The role involves close coordination with in-country teams and the Southern & East Africa Regional Hub, ensuring compliance with organizational policies and donor requirements.
Key Responsibilities
1. Financial Administration
- Manage administrative aspects of local bank accounts
- Prepare and submit monthly financial reports
- Process payment requests with supporting documentation
- Maintain weekly payables and coordinate approvals
- Manage local payments, transfers, and reconciliations
- Conduct first-level audits of expenses and reports
- Ensure compliance with Tanzanian regulations and donor requirements
- Support procurement planning and policy compliance
- Assist with audit preparation and financial reporting
- Prepare monthly financial forecasts
2. Operations
- Support field operations (fuel, rations, equipment procurement)
- Ensure proper maintenance of project equipment and vehicles
- Assist in training sessions and workshops
- Participate in internal project meetings
- Engage with external stakeholders when required
3. Human Resource Administration
- Provide HR administrative support as needed
- Assist in implementing HR policies and procedures
- Support country-specific and regional HR initiatives
Qualifications & Requirements
- Diploma or Degree in:
- Business Administration
- Accounting
- Project Management
- Or related field
- Minimum 3 years’ experience in administration or operations (NGO experience preferred)
- Experience in HR processes is an added advantage
- Familiarity with Tanzanian NGO regulations and procurement standards
- Valid driver’s license and ability to drive a manual vehicle
- Strong organizational and coordination skills
- High attention to detail and accountability
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Fluency in English and Kiswahili
Additional Requirements
- Must have legal authorization to work in Tanzania
- Ability to coordinate effectively with external partners and stakeholders
