2. ADMINISTRATIVE OFFICER (1 Position)
Duty Station: Dar es Salaam
Job Summary
The Administrative Officer acts as the first point of contact for internal and external clients.
The role involves:

Front desk management
-
Administrative support
-
Office management
-
Record management
-
HR support
The officer also supports the Country Director (CD) when required and reports to the People and Culture Director.
Key Responsibilities
1. Front Desk Management
-
Welcome and assist visitors.
-
Guide visitors within the office.
-
Maintain visitor logs to ensure workplace security.
-
Answer phone calls professionally and route them appropriately.
-
Manage incoming and outgoing calls.
2. Administrative Support
-
Coordinate domestic and international travel, including:
-
Flights
-
Hotels
-
Transport pickups.
-
-
Coordinate meetings for visitors, partners, and stakeholders.
-
Perform administrative tasks including:
-
Copying
-
Scanning
-
Filing
-
Note taking
-
Travel arrangements.
-
-
Prepare meeting and training rooms.
-
Assist with travel arrangements for the Country Director.
3. Office Management
-
Ensure office equipment (internet, telephones, printers) works properly.
-
Manage office information boards by updating news and removing outdated notices.
-
Supervise cleanliness of office buildings and surroundings.
-
Report office maintenance issues.
-
Safeguard tools, equipment, and office supplies.
-
Plan office events and coordinate HR initiatives.
4. Document and Record Management
-
Receive and distribute letters and packages.
-
Maintain office files and records.
-
Manage contracts with vendors providing office services.
5. HR Support
-
Coordinate onboarding for new employees.
-
Assist staff with insurance queries and claims.
-
Schedule interviews and coordinate logistics.
-
Prepare interview documents and confirm candidates.
-
Perform other duties assigned by the line manager.
Minimum Requirements
Qualifications
-
Bachelor’s Degree in Business Administration or related fields.
Experience
-
At least 2 years of experience in office administration.
-
Experience in HR administrative support is an added advantage.
-
Experience using online applications (e.g., travel booking systems).
Skills
-
Fluent in English and Kiswahili.
-
Strong IT skills (Word, Excel, Outlook).
-
Attention to detail.
-
Logical and systematic working style.
-
Ability to multitask and prioritize workload.
