Job Purpose

Located in the Archives and Records Section of the Registry, the Associate Information Management Officer is responsible for supporting the implementation of strategies, policies, and procedures for managing physical and digital records and archives. The role ensures access to these records in accordance with the Mechanism’s information security and access regime.

Key Responsibilities

  • Electronic Recordkeeping: Provide support and advice to records-creating offices on system standards, metadata compliance, and digital accessioning.

  • Disposition & Appraisal: Supervise and undertake records appraisal, liaising with offices on the transfer or disposal of records based on evidential value.

  • Archival Processing: Arrange and describe archives; produce descriptive inventories and prepare them for electronic dissemination.

  • Reference Services: Receive and track requests for access; advise internal and external users on holdings and accessibility in line with the Access Policy.

  • Data Analysis: Collect and analyze data to identify trends; provide insights through graphs and charts to support data-driven decision-making.

  • Preservation: Assist in managing physical records repositories in Arusha and provide input on disaster preparedness and recovery for physical archives.


Qualifications & Requirements

Education:

  • Advanced university degree (Master’s or equivalent) in Archival Science, Information Science, Information Systems, Social Science, or a related field.

  • Note: A first-level university degree with two additional years of qualifying experience may be accepted in lieu of the advanced degree.

Work Experience:

  • A minimum of two (2) years of progressively responsible experience in archives management, recordkeeping, library sciences, information management, or a related area.

Languages:

  • Required: English (UN Level II Proficiency in Reading, Writing, Listening, and Speaking).

  • Desirable: French (UN Level II Proficiency).

Core Competencies:

  • Professionalism: Knowledge of recordkeeping in electronic media, appraisal, and migration management.

  • Communication: Ability to speak and write clearly; tailors language and format to match the audience.

  • Technological Awareness: Actively seeks to apply technology to appropriate tasks and keeps abreast of available technology.
