UMATI is a national NGO established in 1959, dedicated to providing Sexual and Reproductive Health (SRH) education, information, and services across Tanzania. It is a full member of the International Planned Parenthood Federation (IPPF) and works closely with government institutions to deliver impactful health programs.


Job Purpose

The Cashier Cum Administrator is responsible for accurate billing, receipting, and financial tracking of clinic services, while also supporting administrative and operational functions. The role ensures efficient clinic operations, high-quality customer service, and compliance with financial and healthcare standards.


Key Responsibilities

1. Revenue Collection & Financial Management

  • Receive payments through approved clinic platforms
  • Issue official receipts for all transactions
  • Record financial information and manage third-party claims
  • Generate invoices for insured clients
  • Enforce credit policies for insurance clients
  • Ensure compliance with insurance procedures and guidelines
  • Deposit collected funds into approved bank accounts with proper documentation

2. Documentation & Records Management

  • Maintain accurate financial records and reporting documentation
  • Prepare daily revenue reports using approved templates
  • Manage patient data with strict confidentiality
  • Maintain filing systems and databases
  • Support documentation for insurance claims
  • Maintain inventory records for clinic assets and supplies

3. Administration & Operations

  • Perform daily administrative duties to ensure smooth clinic operations
  • Schedule patient appointments and coordinate with medical staff
  • Ensure clinic cleanliness, safety, and readiness
  • Support budgeting and cost control activities
  • Manage accounts receivable for insurance companies
  • Monitor use of office supplies and clinic resources
  • Maintain asset registers and oversee clinic inventory
  • Ensure effective use of EFD machine and financial reconciliation
  • Prepare daily, weekly, and monthly operational reports

4. Customer Service

  • Provide clear information on clinic services to clients
  • Address patient inquiries, feedback, and complaints
  • Ensure high levels of patient satisfaction
  • Notify patients when results are ready
  • Support patient evacuation procedures when required

Qualifications & Requirements

Education

  • Bachelor’s degree in Accounting, Business Administration, or related field
  • Knowledge of front office operations is an added advantage

Experience

  • Minimum 2 years’ experience as a cashier, preferably in a healthcare setting
  • Experience in financial management and healthcare billing is an advantage

Skills & Competencies

  • Proficiency in MS Office (Word, Excel)
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • High attention to detail and problem-solving skills
  • Ability to work independently and within a team
  • Strong customer service orientation
  • Knowledge of clinic operations and procurement processes
