Clerk: Expeditor
Job Function
Expediting the collection and delivery of loads. The Expeditor is responsible for the on-time collection and delivery of all loads. Escalating any deviances and issues observed. Providing the client with updates of deliveries. Logging any claims formally to all parties concerned.
Key Performance Areas:
- Immediately notifying relevant Operations Controllers about exceptions on loads (via telephone and e-mail)
- Pro-active communication with loading and off-loading points, vendors, controllers and management
- Adherence to incident/accident protocols and procedures
- Adherence to pallet management procedures
- Debriefing dayshift
- To coordinate the activities of the nightshift team accountable for tracking of vehicles
- Daily circulation of Load Position Report to the client executioner.
- Capture arrival and departure times at loading site on TMS daily for all allocated vehicles within 2 days of delivery date.
- Capture arrival and departure times at offloading site on TMS daily for all allocated vehicles within 2 days of delivery date.
- Capture shortages and damages as a pending claim on TMS and raise claims notification to the client executioner.
- Ensure the successful debrief of loads as instructed by the client i.e., full loads, rejected stock or damages.
- Report any load discrepancies to execution. Effective management and tracking of pallets and escalate to executioner if any discrepancies.
- Accurate capturing of all relevant information into TMS and maintenance of data as required.
- Building and management of a service-driven and professional relationship with all key contacts at clients both externally and internally.
- Expediting the collection and delivery of vehicles after hours.
- Instantaneous communication to the relevant Imperial Managed Solutions operator regarding exceptions on load (via telephone and e-mail).
- Pro-active communication with loading and off-loading points, customers, operator and Management.
- Following incident / accident / hi-jack / pallet procedures.
- Adherence to Health & Safety standards.
Qualifications Required:
- Tertiary qualification will be an advantage.
Experience and Skills Required:
- Previous experience in relevant environment an advantage.
- At least two years’ proper and similar controlling experience in vehicle routing and scheduling.
- Computer literacy – experienced in working on a transport operational system, MS Word, PowerPoint and above-average MS Excel skills.
