Position Overview

The role focuses on managing inventory and procurement processes to ensure accurate stock control, compliance, and operational efficiency.

Working closely with the Operations Supervisor, the position supports the business by providing accurate daily, weekly, and monthly inventory reports, including monitoring:

  • Expiry dates
  • Short-expiry items
  • Vintage stock

Key Responsibilities

Inventory Management

  • Manage and oversee all stock movements while ensuring accurate ERP system recording.
  • Validate Goods Receipt Notes (GRN), product put-away, and bin allocation.
  • Maintain accurate records for batch numbers, expiry dates, and product vintage.
  • Enforce FIFO (First In First Out) procedures and proper storage standards.
  • Ensure proper handling and quality management of products.

Stock Control & Reporting

  • Conduct ERP vs. TANCIS reconciliations periodically.
  • Upload monthly duty-free sales reports.
  • Produce accurate monthly inventory reports for management and financial review.
  • Monitor short-expiry products and optimize stock levels to avoid shortages or overstocking.

Inventory Audits

  • Plan and conduct perpetual and annual physical stock counts.
  • Investigate and report inventory discrepancies.
  • Manage damaged or expired stock, including write-offs and product destruction in accordance with company policies and regulations.
  • Maintain audit-ready documentation and recommend process improvements.

Procurement & Supplier Coordination

  • Serve as the first point of contact for supplier and product enquiries.
  • Maintain the item master library, product range plans, and forecasting tools.
  • Work with the Buyer (Retail), Head Chef, and Commercial Finance team for margin approvals on new products.
  • Manage supplier price lists and coordinate trade agreement updates with the pricing team.

Logistics & Compliance

  • Coordinate customs clearance for international shipments.
  • Ensure all processes comply with regulatory and operational requirements.

Required Skills and Qualifications

  • Minimum 4 years of relevant experience, ideally supervising small teams of diverse nationalities.
  • Experience in Fast-Moving Consumer Goods (FMCG) environments.
  • Basic knowledge of audit procedures, internal controls, and accounting principles.
  • Experience working with ERP or Warehouse Management Systems (WMS) including RF technology.
  • Strong numerical and analytical skills.
  • Knowledge of modern stock control methods and industry standards.
  • Strong computer literacy, including proficiency in Microsoft Office (Excel, Word, etc.) for reporting and analysis.

  • Process-oriented with a structured approach to problem solving.
  • Strong verbal and written communication skills in English.
  • Ability to work effectively in results-driven environments.
  • Experience with modern warehouse layouts, including racking systems and pick-face configuration.
  • Physically fit and able to operate in a fast-paced operational environment.
  • Strong team player with leadership qualities.
