Purpose of the Position
The People & Culture Officer (Compensation & Benefits) is responsible for:
- Handling payroll and benefits administration
- Maintaining personnel records
- Ensuring compliance with statutory and organizational requirements
- Providing HR customer service support
This role focuses on delivering accurate, timely, and compliant compensation and benefits services.
Key Responsibilities
1. Payroll Administration (30%)
- Prepare and process monthly payroll within deadlines
- Ensure accurate calculation of:
- Salaries
- Allowances
- Incentives
- Statutory deductions (PAYE, NSSF, WCF, SDL, etc.)
- Maintain updated payroll records:
- New hires
- Terminations
- Salary adjustments
- Ensure compliance with statutory requirements and timely remittances
- Reconcile payroll reports with finance records and resolve discrepancies
2. Staff Medical, Insurance & Compensation (15%)
- Manage medical-related matters for staff and eligible dependents
- Prepare and update quarterly lists of eligible beneficiaries
- Ensure:
- Medical insurance registration for new staff and dependents
- Data updates for insurance providers
- Track and record medical expenditures from branches
- Coordinate benefits processing (e.g., maternity, paternity, death claims)
- Ensure timely and accurate service delivery from insurance providers
3. Personnel Allowances & Terminal Benefits (15%)
- Manage and process:
- Leave allowances
- Staff allowances (settlement, field, airtime)
- Ensure payments comply with organizational policies
- Accurately calculate and process terminal benefits for exiting staff
4. Leave Administration (30%)
- Maintain and manage all leave-related records:
- Leave plans
- Approvals
- Advances
- Ensure compliance with leave policies
- Coordinate leave schedules across the organization
- Monitor leave balances and cycles
- Prepare monthly leave reports (taken vs pending leave)
- Process leave payments using Aruti HR system
5. Other People & Culture Administrative Support (10%)
- Provide general HR support to Business Centres
- Respond promptly to employee queries and concerns
- Perform additional duties as assigned by the supervisor

- Knowledge of payroll systems and HR processes
- Understanding of statutory compliance requirements
- Good interpersonal and customer service skills
- Ability to handle confidential information with integrity
