Position Summary
The Pharmacy Supervisor is responsible for ensuring the proper functioning of the pharmacy and supervision of the pharmaceutical supply chain in accordance with MSF standards, protocols, and procedures.
The role aims to ensure efficient management, quality control, and continuous availability of medicines and medical supplies to support healthcare services.
Key Responsibilities
1. Pharmacy Operations & Stock Management
- Ensure proper storage, stock management, and supply processes in accordance with MSF protocols and national regulations.
- Maintain appropriate hygiene, security procedures, and pest control measures within the pharmacy.
- Monitor storage conditions including temperature, humidity, and light exposure to maintain drug quality.
- Implement quality control procedures and maintain accurate records.
2. Supply Chain Coordination
- Coordinate the delivery, reception, and recording of international and local orders in collaboration with the logistics department.
- Maintain updated stock records and inventory files.
- Inform line managers about:
- Stock shortages
- Overstocking
- Expiry dates.
- Ensure adequate security stock levels to prevent stock-outs.
3. Medical Supply Planning
- Supervise ordering of medical and pharmaceutical materials to ensure appropriate consumption patterns within budget limits.
- Forecast future needs and ensure efficient inventory planning.
4. Drug Dispensing & Patient Support
- Supervise the dispensing of medicines according to medical prescriptions.
- Provide patients with clear information regarding:
- Proper medicine use
- Dosage
- Storage conditions.
- Ensure appropriate counseling to support effective treatment outcomes.
5. Supply to Supported Facilities
- Ensure efficient supply of medicines to pharmacies supported or managed by MSF.
- Monitor orders from supported facilities to prevent:
- Stock shortages
- Expired medicines.
- Maintain cold chain management when required.
6. Staff Supervision & Capacity Building
- Supervise pharmaceutical and nursing staff in collaboration with the Human Resources department.
- Manage processes including:
- Recruitment
- Staff scheduling
- Training and mentorship
- Performance evaluation
- Staff development.
- Assist in training nursing staff on drug dispensing and medication side effects.
7. Data Management & Reporting
- Record all incoming and outgoing pharmaceutical items in the Isystock system.
- Report on:
- Drug consumption
- Medical equipment distribution
- Unusual consumption patterns.
- Support forecasting and budget management to ensure availability of medicines.
Context-Specific Responsibilities
Pharmacy Management Support
- Supervise pharmacy management practices at peripheral health facilities.
- Ensure continuous availability of essential medicines and medical supplies in accordance with MSF standards and national regulations.
Inventory Control & Forecasting
- Oversee forecasting, quantification, ordering, and reporting of pharmaceutical commodities.
- Strengthen data quality and reporting accuracy for pharmacy orders.
- Conduct routine stock reviews to prevent:
- Stock-outs
- Expired medicines
- Overstocking.
Medicine Redistribution
- Coordinate redistribution or replenishment of medicines between supported facilities to maintain adequate stock levels and reduce wastage.
Dispensing Quality
- Ensure medicines are dispensed according to prescriptions.
- Ensure patients receive appropriate counselling on medicine use.
- Support improved therapeutic outcomes through correct dispensing practices.
Storage & Cold Chain Management
- Enforce Good Storage Practices (GSP).
- Ensure proper cold chain management when required.
Capacity Building & Mentorship
- Provide on-site mentoring and technical support to pharmacy and nursing staff.
- Strengthen knowledge in:
- Stock management
- Medicine use
- Side effects management.
Pharmacovigilance & Quality Assurance
- Support pharmacovigilance activities, including reporting of adverse drug reactions.
- Identify gaps in pharmacy service delivery affecting maternal and neonatal care and recommend improvements.
Minimum Educational Qualification
- Essential: Diploma in Pharmacy.
Experience
- At least one year of professional experience as a pharmacist.
Language Requirements
- English – Required
- Swahili – Required
Technical Knowledge
- Essential computer skills including:
- Microsoft Word
- Microsoft Excel
- Internet use.
