1. Job Summary

The Project Accountant is responsible for financial management, reporting, and donor compliance across projects. The role ensures accurate budgeting, expenditure control, financial reporting, and adherence to donor and organizational financial procedures.


2. Key Responsibilities

A. Financial Reporting & Donor Compliance

  • Prepare project financial reports as per donor requirements
  • Provide monthly financial status reports to project leaders and as needed
  • Prepare and submit quarterly project reconciliation reports
  • Respond to donor financial information requests in liaison with Head of Project Accounting Unit
    (including financial reports, projections, and voucher copies)

B. Budgeting & Cash Flow Management

  • Prepare and submit monthly cash and budget balance reports
  • Prepare annual project cash flow reports for project leaders
  • Work with project leaders to review budgets before submission to the budget team
  • Control project expenditures against approved budgets

C. Payment Processing & Accounting Records

  • Initiate and process project payments
  • Verify imprest retirements
  • Maintain project subsidiary ledger (daily transaction records)
  • Maintain records of donor contracts (soft and hard copies)
  • Maintain copies of all project reports

D. Asset & Fund Management

  • Maintain fixed asset registers for all projects
  • Manage Dep/TGs transactions, budgets, and reports
  • Ensure proper control of Dep/TGs budgets

4. Qualifications

Essential Requirements

  • Bachelor’s Degree or Advanced Diploma in Accounting or related field
  • Professional accounting certification is an added advantage

5. Experience Requirements

  • Experience in donor-funded accounting procedures, including:
    • USAID
    • DFID
    • Global Fund
    • EDCTP
    • or similar donor-funded projects

6. Language Requirements

  • Fluent in English and Kiswahili
  • Ability to communicate effectively with:
    • Project Leaders
    • Donors
