Reporting Lines
The Procurement Assistant will work under:
- Overall guidance of the FAO Representative
- Direct supervision of the Assistant FAO Representative (Administration)
- Technical guidance from the National Procurement Officer
The role also involves close collaboration with project management teams and other FAO offices.
Technical Focus
The Procurement Assistant will support day-to-day procurement operations, ensuring:
- Consistency
- Timeliness
- Compliance with FAO rules and procedures
The role also provides procedural guidance to staff and clients regarding procurement regulations.
Key Responsibilities
The successful candidate will:
- Coordinate procurement actions within the assigned area
- Create purchase requisitions in GRMS
- Register suppliers and contractors in procurement systems
- Assist in preparing:
- Tender documents
- Contracts
- Amendments
- Renewals
- Handle procurement correspondence and documentation
- Follow up on purchase orders and contracts
- Monitor receipt and shipment of goods and services
- Coordinate delivery schedules with:
- Suppliers
- Transport companies
- Tanzania customs authorities
- Review invoices and customs clearance fees
- Identify potential sources of supply
- Maintain procurement databases and procurement plans
- Prepare procurement monitoring reports
- Assist in processing VAT refund requests
- Perform other duties as assigned
Minimum Requirements
Applicants should possess:
- First-level degree in:
- Procurement
- Business Administration
- Public Administration
- Finance
- Economics
- Commerce
- Related field
- Minimum 4 years’ experience in:
- Administrative support
- Accounting support
- Procurement support
- At least 2 years’ procurement experience
- Working knowledge of:
- English
- Swahili
- Must be:
- A Tanzanian national, or
- A resident with a valid work permit
