Position Summary
The Collateral Management Officer (CMA) is responsible for ensuring that all Collateral Management Agreement (CMA) facilities comply with approved credit conditions, collateral requirements, regulatory standards, and internal controls before drawdowns and stock releases are processed.
The role focuses on collateral monitoring, documentation verification, risk management, compliance, stakeholder coordination, and maintaining accurate collateral records within banking systems.
Key Responsibilities
1. Credit Compliance & Drawdown Control
The successful candidate will:
- Ensure all credit approval conditions and Condition Precedents (CPs) related to CMA facilities are fully satisfied before submitting drawdown requests to Credit Operations.
- Verify compliance with approved facility terms and collateral requirements.
- Ensure utilization requests comply with approved credit conditions.
2. Documentation Management
Responsibilities include:
- Reviewing and verifying all CMA-related documents, including:
- Tripartite Agreements
- Stock Reports
- Insurance Policies
- Commercial Contracts
- Supporting Security Documents
- Ensuring all documentation is complete, valid, and compliant.
- Maintaining accurate and updated records for all collateral-related documents.
3. Collateral Monitoring & Verification
The officer will:
- Verify collateral values before utilization and stock releases.
- Monitor collateral quality using CMA stock reports.
- Reconcile stock reports and identify discrepancies.
- Review warehouse inspection findings.
- Ensure stock financing arrangements remain adequately secured.
4. System Administration & Record Management
The role requires:
- Maintaining accurate collateral records within:
- Core Banking Systems
- Collateral Management Tools
- Tracking and Monitoring Registers
- Updating:
- Stock values
- Insurance details
- Collateral information
- Security documentation records
5. Risk Management & Compliance
The successful candidate will:
- Ensure compliance with:
- CMA procedures
- Internal controls
- Regulatory requirements
- Internal audit recommendations
- Identify and escalate:
- Exceptions
- Variances
- Documentation gaps
- Early warning signals
- Support implementation of risk mitigation measures.
6. Stakeholder Coordination
Responsibilities include:
- Coordinating with:

- Other relevant stakeholders
- Supporting collateral verification exercises.
- Organizing stakeholder engagement meetings.
- Preparing:
- Agendas
- Meeting documentation
- Action trackers
- Following up on agreed action points.
7. Performance Monitoring
The officer will:
- Monitor performance of collateral managers.
- Identify operational weaknesses and process gaps.
- Recommend corrective actions and improvements.
- Escalate significant issues to management.
8. Reconciliation & Reporting
The role includes:
- Reconciling:
- CMA stock positions
- Borrower utilization levels
- Approved facility limits
- Ensuring accurate reporting and documentation.
- Maintaining audit-ready records.
