Position Overview
The Payroll Accountant will be responsible for managing and supervising all payroll functions within the organization. The role ensures that payroll is processed accurately, on time, and in full compliance with applicable government laws and regulations.
In addition to payroll management, the role supports broader financial accounting activities, reporting, audits, and compliance processes across the organization.
Core Purpose
- Ensure accurate and timely payroll processing (salaries, benefits, taxes, deductions, and adjustments)
- Maintain compliance with payroll, tax, and labor regulations
- Support financial reporting, accounting processes, and audit requirements
- Assist in implementing finance systems, policies, and controls
- Provide reliable financial data and support to management and departments
Key Responsibilities
Payroll Processing & Compliance
- Implement, maintain, and review payroll systems and processes
- Process payroll updates including:
- New hires
- Terminations
- Salary changes
- Ensure compliance with:
- Payroll laws
- Wage regulations
- Tax requirements (PAYE, NSSF, etc.)
- Ensure accurate calculation of salaries, benefits, and deductions
Accounting & Financial Reporting
- Prepare and maintain payroll records and reports
- Process accounting adjustments for month-end reporting
- Ensure correct labor cost allocation and coding
- Process prepaid expenses through general prepaid accounts monthly
- Prepare financial statements and management reports
- Prepare tax-related documentation and returns
Audit & Control Functions
- Facilitate internal and external audits with proper documentation
- Process audits according to monthly schedules
- Maintain compliance with financial reporting standards
- Ensure 100% confidentiality of financial data
Systems & Data Management
- Maintain and update financial systems including:
- SAP
- SAGE 300
- Ensure accurate daily data entry and record keeping
- Identify and recommend improvements to payroll systems and processes
- Maintain electronic financial records and databases
Intercompany & Financial Transactions
- Process intercompany debit notes within required timelines
- Manage intercompany charges and reconciliation processes
- Prepare back-charge invoices between AR and AP systems
Training & Support
- Provide system training for new users within 1 month of onboarding
- Deliver refresher training for existing users after system changes
- Support finance team members with payroll and system knowledge
Reporting & Analysis
- Prepare management reports analyzing payroll trends and performance
- Provide accurate financial data for decision-making
- Ensure all reports are completed accurately and submitted on time
Additional Duties
- Perform other finance-related duties as assigned by supervisors
- Support budgeting and financial analysis activities
Qualification Requirements
- Bachelor’s Degree in:
- Accounting
- Finance
- Tax
- Actuarial Science
- Economics
- Or other business-related fields
- Minimum Upper Second Class GPA
Experience Requirements
- 1–2 years post-graduation experience in:
- Accounting
- Auditing
- Tax accounting
- Strong understanding of payroll systems and processes
Technical Skills
- Payroll processing and payroll tax knowledge
- Strong Excel skills:
- Pivot Tables
- Lookup functions
- Microsoft Office proficiency
- Familiarity with:
- SAP
- SAGE 300
- Other integrated payroll systems
