Job Purpose

The Credit Administration Officer will support lending and compliance operations by managing client documentation, loan administration, investor paperwork, collections support, and records management.

This is a detail-intensive position requiring exceptional accuracy, organization, confidentiality, and the ability to work effectively with structured administrative processes.


Key Responsibilities

1. Client & Loan Documentation

The successful candidate will be responsible for managing borrower and investor documentation, including:

Client Verification

  • Collecting and verifying:
    • National IDs
    • TIN Certificates
    • Proof of Address
    • Other supporting documents

Loan Documentation

Preparing and managing:

  • Letters of Offer
  • Loan Agreements
  • Personal Guarantees
  • Corporate Guarantees

for both borrowers and investors.

Legal Coordination

  • Liaise with solicitors and legal advisors throughout the documentation process.
  • Support legal reviews and document finalization.

Statement Preparation

  • Create and maintain accurate statements for:
    • Borrowers
    • Investors

2. Collections & Accounts Support

Collections Activities

  • Support collection efforts for outstanding accounts.
  • Conduct collection follow-up calls where necessary.
  • Document daily collection activities and outcomes.

Account Administration

  • Investigate account disputes and billing discrepancies.
  • Respond to internal and external credit inquiries.
  • Assist with identification of delinquent accounts.

Financial Reconciliation

  • Perform account reconciliations.
  • Conduct payment reconciliations.
  • Verify financial records and balances.

Tax Documentation

  • Prepare, file, and retrieve Withholding Tax statements.
  • Maintain supporting tax records.

Credit Risk Support

Assist the Operations Manager in:

  • Identifying delinquent accounts for external recovery.
  • Detecting potential bad debts.
  • Monitoring financial exposure risks.

3. Records & Filing Management

File Management

  • Create, organize, and maintain:
    • Physical files
    • Digital records

Documentation Control

  • Label, update, and categorize files accurately.
  • Ensure documents are stored in correct locations.
  • Gather and code records from various sources.

Administrative Support

  • Printing documents
  • Photocopying records
  • Sending emails
  • Delivering documentation when required

Records Maintenance

  • Archive inactive files.
  • Destroy obsolete records according to approved procedures.
  • Conduct regular file audits.
  • Locate and retrieve documents when requested.

Filing System Administration

  • Implement authorized filing changes.
  • Maintain compliance with document retention procedures.
  • Perform additional duties assigned by Management.

Educational Qualifications

Applicants must possess a:

  • Diploma in Business Administration
  • Diploma in Accounting
  • Diploma in Finance
  • Or another related field

Experience Requirements

Required

  • Minimum 1–2 years of experience in:
    • Administration
    • Accounts Support
    • Finance Support Roles
