Executive Assistant to Chief Technology & Digital Transformation (1 Position)

Job Purpose

The Executive Assistant to the Chief Technology & Digital Transformation is responsible for providing high-level executive, administrative, financial planning, and coordination support to the Chief Technology & Digital Transformation.

The role ensures:

  • Effective budget monitoring and reporting.
  • Efficient office administration and stakeholder management.
  • Timely preparation of reports and correspondence.
  • Proper documentation and records management.
  • Coordination of departmental resources, headcount, and key technology workstreams to support the successful execution of the department’s strategic priorities.

Main Responsibilities

1. Financial Planning, Monitoring & Reporting

The successful candidate will:

  • Review monthly departmental budget versus actual expenditure reports and identify areas of concern.
  • Coordinate monthly and quarterly budget review meetings with all departmental sections.
  • Review requisitions and payment requests to ensure:
    • Budget availability.
    • Correct charge codes.
  • Work with departmental managers and the Finance Department to prepare annual:
    • Operating Expenditure (OPEX) budgets.
    • Capital Expenditure (CAPEX) budgets.
  • Review operational and financial reports and recommend performance improvements.
  • Compile and analyze operational and financial data to evaluate efficiency.
  • Conduct research and prepare financial and business forecasts using multiple scenarios.
  • Analyze trends affecting:
    • Technology
    • Operations
    • Strategic technology projects
  • Compare actual versus budgeted expenditures and analyze budget performance.
  • Conduct cost-benefit analyses to support management decision-making on:
    • Existing programmes
    • Proposed initiatives
    • Capital investments
  • Develop financial models using spreadsheet applications.
  • Monitor departmental budget performance and recommend budget control policies.
  • Prepare financial management reports for Executive Committee (EXCO) meetings.
  • Support cost center managers with budget preparation and interpretation.
  • Coordinate and consolidate analytical reports and presentations across the Technology & Digital Transformation portfolio.
  • Compile routine and ad hoc management reports.
  • Coordinate departmental performance management meetings.
  • Consolidate departmental scorecards.
  • Monitor performance commitments and follow up on agreed actions.

2. Administrative Support

The Executive Assistant will:

  • Serve as the first point of contact for both internal and external stakeholders.
  • Represent the Bank professionally and positively.
  • Manage the Chief Technology & Digital Transformation’s:
    • Calendar
    • Meetings
    • Appointments
    • Interviews
  • Coordinate departmental management meetings.
  • Serve as secretary during meetings by:
    • Taking accurate minutes.
    • Recording action items.
    • Following up to ensure agreed actions are completed before subsequent meetings.
  • Support Heads of Department in coordinating work plans and workflow.
  • Handle confidential incoming and outgoing correspondence with discretion.
  • Maintain organized filing systems and records for departmental documentation.

Qualifications

Applicants must have:

  • Bachelor’s Degree in one of the following fields:
    • Accounting
    • Finance
    • Information Systems
    • Or another related discipline.

Experience

  • Minimum three (3) years of experience in:
    • ICT budget management.
    • ICT administrative functions.
    • Supplier Relationship Management (SRM).
    • Human Resources (HR) administration.
    • Finance-related administrative work.
