Job Overview

The Grants and Finance Officer – AHADI will support financial management, budgeting, grants administration, partner management, procurement, payments, fixed asset management, and audit activities for the AHADI project.

The role will ensure project funds are managed in accordance with approved budgets, donor requirements, World Vision policies, and applicable financial controls.

Key Responsibilities

1. Finance, Budget, Fixed Asset Management & Monitoring – 40%

  • Ensure funding requests are submitted in accordance with approved annual work plans.
  • Support the preparation and revision of project budgets.
  • Monitor project expenditure against approved budgets.
  • Ensure project expenses are correctly charged to the appropriate budget lines.
  • Maintain and regularly update the Fixed Asset Register.
  • Support finance and logistics functions.
  • Supervise drivers when required.
  • Support fleet management activities.

Expected Results:

  • Project expenses are allowable, reasonable, and properly allocable.
  • No disallowed costs.
  • No unnecessary overspending or underspending.
  • Budget revisions are completed on time.
  • Financial reports are submitted on time.
  • Vehicles are properly maintained.
  • Fixed asset records remain accurate and up to date.

2. Partner Management – 30%

  • Review monthly financial and programme reports submitted by partners.
  • Post partner reports into the financial system on a monthly basis.
  • Conduct partner capacity assessments.
  • Support partner capacity-building activities.

Expected Results:

  • Partner retirements are reviewed and posted on time.
  • Monthly burn rates are accurately monitored.
  • Partner financial management capacity is strengthened.
  • Risk of disallowed costs is minimized.

3. Project Payments – 15%

  • Support timely payments to:
    • Vendors
    • Project partners
    • Beneficiaries
  • Ensure project costs are properly recorded.

Expected Result:

  • Payments are processed and project costs recorded on time.

4. Procurement – 5%

  • Ensure project procurement plans are submitted as required.
  • Maintain complete and proper documentation for procurement transactions.
  • Ensure procurement activities follow approved procurement plans and procedures.

Expected Results:

  • Procurement is conducted on time.
  • Procurement activities comply with approved plans.
  • Procurement records are complete and compliant.

5. Timesheets & Labour Distribution – 5%

  • Support project staff in submitting timesheets.
  • Ensure labour distribution reports comply with donor and World Vision requirements.
  • Ensure staff timesheets are properly filed on a monthly basis.

6. Audit Support – 5%

  • Provide support during internal and external audits.
  • Facilitate timely responses to audit queries.
  • Assist in resolving audit-related issues and requests for supporting documentation.

Required Professional Experience

Candidates should have:

  • Minimum 3 years of progressive experience in a donor-funded environment.
  • Strong exposure to:
    • Project accounting
    • Financial management
    • Budgeting
    • Grants management
    • Contracts
    • Partner management
  • At least 1 year of experience in an international NGO is preferred.
  • Demonstrated experience in budget preparation and analysis.
  • Strong financial reporting and presentation skills.
  • Ability to translate technical financial data into clear and informative reports.
  • Advanced computer skills, particularly Microsoft Excel.
  • Previous staff supervisory experience is desirable.
  • Strong organizational skills.
  • Excellent written and spoken English.

Education & Professional Qualifications

Required

  • Bachelor’s degree in:
    • Accounting
    • Finance
    • Or an equivalent field

Added Advantage

  • CPA
  • ACCA
  • Other relevant professional accounting qualifications.

Preferred Knowledge & Skills

  • Experience managing donor funds.
  • Knowledge of grants operations and financial services.
  • Experience managing implementing partners.
  • Strong planning and organizational skills.
  • Tact and diplomacy when dealing with workplace-related matters.
  • Ability to build effective working relationships with staff at all levels and members of the public.
  • Experience working for an international organization is an added advantage.
  • Strong proficiency in:
