The EU Delegation in Tanzania represents the EU in official relations with the Government of Tanzania and works closely with EU Member State embassies and consulates.
2. Position Offered
- Job Title: Administrative Assistant
- Section: Administration Section
- Category: Local Agent – Group II
- Contract Type: Fixed-term (2 years, renewable subject to budget and operational needs)
- Team Size: 13 staff members
- Work Conditions: Occasional atypical working hours
- Expected Start Date: 01 July 2026
3. Salary & Benefits
- Starting salary: approximately TZS 4,910,058 (based on experience)

4. Main Responsibilities
A. Infrastructure Management
- Manage expatriate accommodation registry
- Support housing arrangements and lease contract reviews
- Coordinate repairs and maintenance for offices and residences
- Liaise with security service providers
- Support building/renovation projects (planning, documentation, monitoring)
- Ensure compliance with EU infrastructure standards
- Monitor infrastructure budgets and project timelines
B. Procurement
- Determine appropriate procurement procedures
- Prepare tender documents and technical specifications
- Manage procurement processes from planning to contract completion
- Conduct market research and supplier evaluation
- Maintain supplier database
- Oversee framework contract usage and documentation
C. Inventory Management
- Maintain up-to-date asset registry (equipment, vehicles, etc.)
- Track acquisitions, disposals, and maintenance schedules
- Conduct annual inventory audits
- Update inventory systems and records
D. Human Resources (Back-up Support)
- Support recruitment and selection of local staff
- Assist in training and development activities
- Facilitate medical reimbursements
- Support compliance with local labour laws
5. Minimum Requirements
Education
- Post-secondary degree (required)
- Degree in HR, Finance, Business Administration, Infrastructure or related field (desirable)
- Professional certifications (advantageous)
Experience
- Minimum 6 years’ experience in facility management or procurement
- Experience in international organisations, diplomatic missions, or development agencies (advantageous)
- Experience with EU systems and procedures (advantageous)
Skills
- Excellent Kiswahili and very good English
- Strong IT skills (Word, Excel, PowerPoint, Outlook)
- Strong writing and reporting skills
- Analytical and problem-solving ability
- Attention to detail and accuracy
- Ability to provide clear, actionable advice
