Assistant Administration & HR Officer
Reports to: Operations/Admin & HR Manager
Job Purpose
To provide administrative and human resource support by coordinating office operations, assisting in workforce administration, maintaining employee records, supporting management activities, and ensuring efficient day-to-day business operations in compliance with company policies and labour regulations.
Key Responsibilities
Administration
- Assist in the day-to-day office operations and administrative activities.
- Coordinate office activities to ensure efficiency and compliance with company policies and procedures.
- Assist management in coordinating daily staff work schedules, duty rosters, and shift assignments.
- Manage office correspondence, including emails, letters, courier services, and telephone communications.
- Organize meetings, prepare meeting agendas, take minutes, and follow up on action items.
- Coordinate travel arrangements, accommodation, appointments, and official company events.
- Prepare reports, presentations, proposals, and other administrative documents as assigned.
- Maintain an organized filing system and document control for administrative and legal records.
- Monitor office inventories, supplies, equipment, and facility requirements, ensuring timely procurement and maintenance.
- Support departmental budgeting and maintain administrative expenditure records where required.
Human Resource Management
- Assist in recruitment, interviews, onboarding, orientation, and employee induction.
- Maintain employee records, contracts, confidential personnel files, and HR databases.
- Assist in payroll preparation by compiling attendance, overtime, leave, and other payroll information.
- Coordinate employee attendance, leave administration, duty schedules, and shift changes.
- Support employee welfare programs and HR communication activities.
- Assist in disciplinary procedures and ensure compliance with company policies.
- Ensure compliance with labour laws, company regulations, and statutory requirements.
Performance & Reporting
- Maintain and monitor employee Key Performance Indicators (KPIs).
- Coordinate employee performance appraisal activities and maintain performance records.
- Compile monthly, quarterly, and annual HR reports for management.
- Assist during internal and external audits by preparing HR and administrative documentation.
General Support
- Provide administrative support to senior management and department heads.
- Assist colleagues and other departments whenever required.
- Perform any other duties assigned by Management.
Required Qualifications
- Bachelor’s Degree in Human Resource Management, Business Administration, Law, or a related field.
- Minimum 1 years’ experience in administration or human resource management (preferred).
- Knowledge of labour laws and HR best practices.
- Excellent communication, organizational, and interpersonal skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong planning, multitasking, and problem-solving skills.
