Job Summary

 

He/She is responsible for the effective organization, maintenance, security, and retrieval of all physical and electronic records within the Bank. The role ensures the integrity of documents and records in accordance with regulatory requirements, internal policies, and data retention standards. The officer safeguards the integrity and confidentiality of customer and institutional records, provides efficient information access for operational needs, and assists in implementing the bank’s records management systems and digitization initiatives.

Key Responsibilities

 

• Maintain accurate filing systems for both physical and electronic records.
• Ensure accurate retrieval and reference.
• Ensure compliance with records retention schedules and regulatory requirements (e.g., Central Bank, Data Protection laws).
• Coordinate with various departments to ensure timely archiving and secure disposal of obsolete records.
• Support implementation of records digitization and document management systems.
• Monitor access to confidential information and maintain logs of record usage.
• Conduct periodic audits to verify completeness and accuracy of stored records.
• Train staff on records management procedures and best practices.
• Collaborate with the compliance and legal departments to ensure proper documentation for audits, inspection, and legal purposes.
• Ensure disaster recovery and backup procedures are in place for all critical records.
• Perform any other duties as may be assigned by supervisor from time to time.

Skills and Experience

 

• Bachelor’s degree in Records Management from a recognized university.
• Working experience in similar roles from Banking or financial institutions is added advantage.

Remuneration

 

The Bank will carry a competitive salary and packages commensurate with qualifications and experience to successful candidates.
