Job Purpose
The role is responsible for overseeing Project Controllers and ensuring efficient fleet operations, journey management, customer satisfaction, financial control, compliance, vehicle tracking, driver management, and operational performance. The position also supports Operations Leads in driving continual improvement and maximizing fleet utilization.
Key Accountabilities & Responsibilities
Customer Service & Client Management
- Maintain exceptional customer focus at all times.
- Keep customers informed through accurate tracking reports and timely updates.
- Manage customer expectations through proactive communication.
- Handle customer complaints professionally and promptly.
- Coordinate with Fleet Planning, Client Liaison Teams, and Operations Leads to resolve issues.
Financial & Operational Control
Journey Management
- Supervise Project Controllers in:
- Journey management planning.
- Financial control processes.
- Timely cash-flow allocation to drivers and service providers.
Fuel Management
- Ensure accurate fuel allocation and accounting.
- Monitor compliance with company fuel management procedures.
Driver & Fleet Management
- Supervise trip briefings and debriefings.
- Ensure all debriefings are completed within 24 hours of loading or offloading.
- Monitor driver performance and ensure debriefing outcomes align with company policy.
- Manage:
- Driver escalations.
- Disciplinary matters.
- Driver handovers.
- Vehicle handovers.
- Driver deduction monitoring.
Vehicle Monitoring & Tracking
- Ensure continuous and effective trip monitoring.
- Oversee vehicle tracking activities.
- Minimize avoidable delays.
- Ensure drivers are informed about journey progress.
- Monitor compliance with Journey Management Plans (JMP).
Safety & Compliance
- Ensure accurate vehicle fault reporting.
- Coordinate immediate accident and incident investigations.
- Work with HSSEQ teams to identify root causes and prevent recurrence.
- Ensure all trips comply with legal and regulatory requirements.
- Verify that all operational documentation is complete and accurate.
Systems Administration
Ensure accurate and timely updates in:
- SAP
- TMS (Transport Management Systems)
- Fleet monitoring systems
- Operational databases
Documentation & Invoicing
- Verify all trip documentation.
- Ensure documents required for invoicing are processed correctly.
- Maintain operational records and compliance documentation.
Team Leadership
Serve as Line Manager for:
- Project Controllers
- Administration Teams
- Documentation Teams
Leadership Responsibilities
- Provide guidance and supervision.
- Delegate tasks effectively.
- Conduct performance evaluations.
- Prepare two performance assessment reports for management review.
- Support staff development and continuous improvement.
Operational Support
- Assist Operations Leads in improving operational performance.
- Promote best practices across operations teams.
- Support:
- Planners
- Client Liaison Officers
- Key Account Managers
Business Development Support
- Assist in identifying cargo opportunities for fleet utilization.
- Build and maintain relationships with:
- Clients
- Government authorities
- Clearing agencies
- Logistics stakeholders
Education, Skills & Qualifications
Minimum Requirement
- Bachelor’s Degree in a relevant discipline.
OR
- Equivalent vocational experience in transport, logistics, or related operational support services.
