1. ACCOUNTING & ADMINISTRATION INTERN

Job Purpose
The Accounting & Administration Intern will provide support to the Finance and Administration function of AmCham Tanzania. The role will assist with routine accounting, financial documentation, administrative coordination, procurement, records management, and office operations.
The position is intended to provide practical exposure to financial and administrative processes while ensuring that assigned tasks are completed accurately, efficiently, and in accordance with organizational policies and procedures.
Key Responsibilities
Accounting & Financial Administration
-
Assist with recording and maintaining financial transactions and supporting documentation.
-
Prepare, organize, and file invoices, receipts, payment vouchers, purchase documents, and other financial records.
-
Assist with petty cash management and reconciliation.
-
Support bank and cash reconciliations and identify discrepancies for review.
-
Assist with expense tracking and preparation of financial schedules.
-
Support preparing routine financial reports and summaries.
-
Assist in monitoring expenditure against approved budgets.
-
Ensure financial documentation is complete, properly authorized, and systematically filed.
-
Assist in preparing and organizing documents required for internal and external audits.
Office Administration
-
Maintain organized physical and electronic administrative records.
-
Assist with preparation and filing of correspondence, reports, minutes, forms, and other organizational documents.
-
Support scheduling and coordination of internal meetings.
-
Assist with travel, accommodation, transport, and logistical arrangements where required.
-
Monitor office supplies and support inventory management.
-
Assist with maintaining office equipment, asset, and inventory records.
Membership Administration
-
Support the administration and maintenance of membership records, databases, and related documentation.
-
Assist with member registration, onboarding, renewals, and updates to member information.
-
Assist in tracking membership fees, payments, outstanding balances, and renewals in coordination with the Accounts team.
-
Prepare and maintain membership reports, lists, and statistics as required.
-
Support communication with members regarding renewals, payments, events, and other membership-related activities.
-
Perform other membership-related administrative duties as required.
Procurement & Supplier Administration
-
Support procurement activities in accordance with organizational procedures.
-
Assist with obtaining and organizing supplier quotations and documentation.
-
Maintain supplier and procurement records.
-
Assist in maintaining an organized procurement filing system.
Qualifications
-
Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, Economics, or a related discipline.
-
Recent graduate from a recognized academic institution.
-
Basic understanding of accounting principles and financial administration.
-
Proficiency in Microsoft Office, particularly Excel and Word.
-
Familiarity with accounting software is an added advantage.

2. COMMUNICATIONS & EVENTS COORDINATION INTERN

Job Purpose
The Communications & Events Coordination Intern will support AmCham Tanzania’s communications and events activities. The role will provide practical experience in content development, digital communications, event planning, stakeholder coordination, event logistics, documentation, and reporting while contributing to the organization’s visibility and engagement activities.
Key Responsibilities
Communications & Content Development

Assist in developing clear, accurate, and engaging communication materials.

Support preparation of social media posts, newsletters, announcements, briefs, presentations, reports, and other communication materials.
-
Assist in maintaining content calendars and communication schedules.
-
Support collection of stories, updates, photographs, and other content from organizational activities.
-
Assist with proofreading and editing communication materials.
-
Ensure communications materials are professionally presented and aligned with organizational branding.
-
Maintain an organized digital archive of communications materials, photographs, publications, and other content.
-
Support updates to relevant digital communication platforms.
-
Monitor relevant media and digital channels and share pertinent information with the supervisor.
Social Media & Digital Communications
-
Assist in preparing and scheduling approved social media content.
-
Support monitoring of engagement and basic social media performance.
-
Assist in maintaining consistent organizational messaging across digital platforms.
-
Support development of visual and written content for campaigns and organizational activities.
-
Maintain records of published communications and digital content.
Events Coordination
-
Support planning and coordination of meetings, workshops, seminars, conferences, networking events, and other organizational activities.
-
Assist in preparing event schedules, agendas, invitations, registration forms, participant lists, and event materials.
-
Support venue, catering, equipment, transport, accommodation, and other logistical arrangements.
-
Coordinate with suppliers and service providers as directed.
-
Assist with participant registration and attendance management.
-
Support communication with speakers, partners, participants, and other stakeholders.
-
Prepare event materials including name badges, programmes, information packs, signage, and presentation materials.
-
Provide on-site logistical and coordination support during events.
-
Assist with post-event follow-up and documentation.
Event Documentation & Reporting
-
Assist with documenting meetings and events through photographs, notes, attendance records, and other approved methods.
-
Support collection of participant feedback and event evaluation information.
-
Assist with preparation of event reports and activity summaries.
-
Track event deliverables, deadlines, and action points.
-
Maintain organized event files and supporting documentation.
-
Document lessons learned and relevant follow-up actions.
Qualifications
-
Diploma or Bachelor’s degree in Communications, Public Relations, Journalism, Marketing, Events Management, Business Administration, or a related discipline.
-
Recent graduate or currently pursuing a relevant qualification.
-
Strong written and verbal English communication skills; knowledge of Kiswahili is an advantage.

Proficiency in Microsoft Office.

Familiarity with social media and digital communication platforms.
-
Basic knowledge of graphic design or content creation tools is an added advantage.
-
Experience with event coordination, volunteering, student leadership, or similar activities is an advantage.
