Job Overview
The Office Administrator/Receptionist will provide administrative and front desk support to ensure the Secretariat office runs efficiently and remains welcoming to members, partners, and visitors.
Key Responsibilities
1. Front Desk & Visitor Services
- Receive and attend to visitors professionally
- Ensure visitors sign the visitors’ book and issue passes
- Direct visitors to relevant staff and manage meeting room bookings
- Prepare refreshments for visitors when necessary
- Maintain visitor logs and front desk activity records
2. Office Administration & Supplies Management
- Maintain cleanliness and proper arrangement of the office
- Track, order, and manage office supplies and consumables
- Oversee office opening/closing procedures and basic security compliance
3. Communication & Correspondence
- Handle incoming calls and take messages accurately
- Manage official email accounts and correspondence
- Receive and dispatch mail and courier items
- Support meeting documentation and minute-taking
4. Document, Records & Asset Management
- File, scan, and archive office documents (physical and electronic)
- Maintain organized filing systems for easy retrieval
- Update office asset register (including serial numbers)
- Ensure proper custody of office equipment and assets
5. Logistics, Health & Safety Support
- Assist in participant registration for meetings/workshops
- Support logistics for events, including bookings and confirmations
- Maintain first aid kits and emergency contact lists
- Support fire safety procedures and drills
6. General Administrative Support
- Provide overall administrative support to the Secretariat
- Assist with scheduling, logistics, and office coordination tasks
Requirements
Qualifications & Experience
- Diploma in Social Studies, Business Studies, or related field
- Administrative/Secretarial Diploma from a recognized institution
- Minimum 3 years’ experience in a similar role (busy office preferred)
- Experience in NGO/CSO environment is an added advantage
- Ability to work with minimal supervision
- Computer literacy (MS Word and Excel essential)
- Strong English and Kiswahili communication skills
- Ability to work with diverse cultures
