Job Purpose
To provide comprehensive and confidential administrative, secretarial and diary management support to the Managing Director, while facilitating effective decision-making, risk management and regulatory compliance.
The role also serves as a key liaison between the Managing Director, Board, regulators and internal/external stakeholders.
Key Responsibilities
Executive & Diary Management
- Manage and coordinate the Managing Director’s calendar and appointments.
- Prioritise meetings and proactively resolve scheduling conflicts.
- Draft, proofread and manage correspondence, reports, memos and presentations.
- Prepare agendas and collate Board and executive meeting packs.
- Take accurate meeting minutes and follow up on action points.
Travel & Administration
- Organise domestic and international travel arrangements.
- Coordinate visas, accommodation and transportation.
- Prepare related travel expense reports.
- Organise internal events, client functions and off-site meetings.
- Manage executive-office supplies and vendor relationships.
Confidentiality & Records
- Handle sensitive financial, HR and strategic information with discretion.
- Maintain secure physical and electronic filing systems.
- Manage executive records, contracts and correspondence.
- Ensure compliance with confidentiality and data-protection policies.
Stakeholder Coordination
- Act as the first point of contact for internal departments, clients, regulators and external partners.
- Liaise with Compliance, Risk, Legal and Finance to obtain information and documentation required by the Managing Director.
- Ensure effective communication and timely follow-up.
Qualifications
Required:
- University degree in:
- Business Administration
- Secretarial Studies
- Related field
- Diploma or certificate in Business Administration or Secretarial Studies.
Added Advantage:
- Certification in Executive/Personal Assistant training.
Required Experience
- 2–3 years of experience as a Personal Assistant or Executive Assistant to senior management.
- Experience within banking or financial services is preferred.
Knowledge & Skills
- Understanding of corporate governance and banking industry protocols.
- Proficiency in Microsoft Office Suite and banking systems/tools.
- Excellent written and verbal communication.
- Strong organisation and time-management skills.
- Ability to multitask and work effectively under pressure.
