Job Purpose

To provide comprehensive and confidential administrative, secretarial and diary management support to the Managing Director, while facilitating effective decision-making, risk management and regulatory compliance.

The role also serves as a key liaison between the Managing Director, Board, regulators and internal/external stakeholders.

Key Responsibilities

Executive & Diary Management

  • Manage and coordinate the Managing Director’s calendar and appointments.
  • Prioritise meetings and proactively resolve scheduling conflicts.
  • Draft, proofread and manage correspondence, reports, memos and presentations.
  • Prepare agendas and collate Board and executive meeting packs.
  • Take accurate meeting minutes and follow up on action points.

Travel & Administration

  • Organise domestic and international travel arrangements.
  • Coordinate visas, accommodation and transportation.
  • Prepare related travel expense reports.
  • Organise internal events, client functions and off-site meetings.
  • Manage executive-office supplies and vendor relationships.

Confidentiality & Records

  • Handle sensitive financial, HR and strategic information with discretion.
  • Maintain secure physical and electronic filing systems.
  • Manage executive records, contracts and correspondence.
  • Ensure compliance with confidentiality and data-protection policies.

Stakeholder Coordination

  • Act as the first point of contact for internal departments, clients, regulators and external partners.
  • Liaise with Compliance, Risk, Legal and Finance to obtain information and documentation required by the Managing Director.
  • Ensure effective communication and timely follow-up.

Qualifications

Required:

  • University degree in:
    • Business Administration
    • Secretarial Studies
    • Related field
  • Diploma or certificate in Business Administration or Secretarial Studies.

Added Advantage:

  • Certification in Executive/Personal Assistant training.

Required Experience

  • 2–3 years of experience as a Personal Assistant or Executive Assistant to senior management.
  • Experience within banking or financial services is preferred.

Knowledge & Skills

  • Understanding of corporate governance and banking industry protocols.
  • Proficiency in Microsoft Office Suite and banking systems/tools.
  • Excellent written and verbal communication.
  • Strong organisation and time-management skills.
  • Ability to multitask and work effectively under pressure.
