Key Responsibilities

Under the overall supervision of the Deputy Representative Programme and other relevant supervisors, the Programme Support Officer will:

  • Maintain the Deputy Representative’s calendar and arrange meetings.
  • Take accurate and coherent meeting minutes.
  • Support the preparation of comprehensive briefing packages for donor and partner engagements and high-level events, including content creation and photography.
  • Review, copyedit and refine donor reports, project proposals and concept notes in line with UNICEF branding, style and messaging guidelines.
  • Draft clear and well-structured communications for reports, briefs and knowledge products.
  • Maintain and update the internal funding pipeline using Excel trackers.
  • Generate regular reports, dashboards and presentations on key performance indicators and donor reporting.
  • Support the use of digital and AI tools to synthesize complex data and generate actionable insights for statutory reports, dashboards and KPI presentations.
  • Contribute to grants management, including monitoring grant expiry and supporting reprogramming or extension processes.
  • Facilitate the preparation of funds utilization reports to track expenditures and commitments.
  • Use AI, automation tools and digital platforms to streamline repetitive tasks such as data analysis and report generation.
  • Serve as a resource for digital platforms including SAP, Service Gateway, Power BI and SharePoint.
  • Maintain effective document repository systems and SharePoint for programme documentation.

UN Volunteer Responsibilities

The assignment also requires the volunteer to promote volunteerism by:

  • Building knowledge and understanding of volunteerism and participating in UNV activities.
  • Engaging with traditional and local forms of volunteerism in Tanzania.
  • Building relationships with youth organizations, community-based organizations and civil society organizations.
  • Supporting community-driven voluntary activities.
  • Contributing articles, write-ups and stories based on field experiences.
  • Supporting the UNV Buddy Programme for newly arrived UN Volunteers.
  • Promoting the UNV Online Volunteering service where technically possible.

Eligibility Requirements

Age: 18–80 years

Required Experience: 7 years

Nationality: Applicants must be a national, legal resident or hold refugee status in the country of assignment.

Education: A Bachelor’s degree in Business Administration, Public Administration, Economics, Development Studies, International Relations, Data Science or a related field is an asset.

Languages:

  • English – Fluent, required
  • Swahili – Fluent, desirable

Skills and Experience

Applicants should have:

  • Experience in programme support, project management, resource mobilization, grant management or donor reporting, preferably within the UN system, international organizations or non-profit sectors.
  • Demonstrated experience in donor reporting, grant management and resource mobilization.
  • Proficiency in ERP systems such as SAP and data visualization tools such as Power BI and SharePoint.
  • Familiarity with digital productivity tools, AI-driven data synthesis and automation platforms.
  • Experience or skills in photography and design.
  • Strong communication, teamwork, planning, organizing, accountability and adaptability skills.
  • Good interpersonal, networking and communication skills.
  • Willingness to work as part of a team.
  • Flexibility and openness to learning and new experiences.
  • Respect for diversity and adaptability to different cultures, environments and living conditions.
  • Previous volunteer experience or experience involving another culture is highly regarded.
  • University graduates are preferred, although candidates with some university education may be considered.
