Position Summary
The Receptionist / Administrative Assistant will serve as the first point of contact for visitors, clients, and stakeholders while providing essential administrative support to ensure the efficient operation of the office. The successful candidate will demonstrate excellent communication skills, professionalism, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
The successful candidate will be responsible for:
- Welcoming, receiving, and assisting visitors, clients, and guests in a professional manner.
- Managing incoming telephone calls, emails, and other correspondence.
- Maintaining office records, filing systems, and administrative databases.
- Preparing letters, reports, memos, and other administrative documents.
- Coordinating office supplies, deliveries, courier services, and inventory requirements.
- Scheduling meetings, appointments, and maintaining office calendars.
- Providing administrative support to management and other departments as required.
- Ensuring the reception area and office environment remain organized and presentable.
- Assisting with day-to-day office administration and operational activities.
Qualifications and Requirements
Applicants should possess:
- Diploma or Degree in Business Administration, Office Management, Secretarial Studies, or a related field.
- Proficiency in Microsoft Office applications, including:
- Microsoft Word
- Microsoft Excel
- Microsoft Outlook
- Strong verbal and written communication skills.
- Excellent organizational and time-management abilities.
- Professional appearance and customer-service-oriented attitude.
- Ability to maintain confidentiality and handle sensitive information professionally.
