About the European Union Delegation

The Delegation of the European Union (EU) to the United Republic of Tanzania and the East African Community (EAC) serves as the official diplomatic representation of the European Union in Tanzania. Working closely with the Embassies and Consulates of the 27 EU Member States, the Delegation represents the EU in diplomatic relations, development cooperation, trade, and other areas within the EU’s mandate.


Position Summary

The Delegation is seeking a Secretary (Local Agent – Group III) to join the Infrastructure Section.

The successful candidate will provide comprehensive administrative and secretarial support to the Head of Infrastructure Section and the team. The position requires excellent organizational skills, document management expertise, and the ability to work in a multicultural diplomatic environment.

The team consists of 10 staff members, with occasional work outside normal office hours.


Contract Details

  • Contract Type: Fixed-term (2 years)
  • Probation Period: 9 months
  • Possibility of Renewal: Subject to operational needs and budget availability
  • Working Hours: 37.5 hours per week
  • Expected Start Date: Mid-October 2026

Base Salary

Starting from approximately:

TZS 3,573,768 per month

(Depending on verified professional experience.)

Key Responsibilities

1. Secretarial Support

  • Manage the Head of Section’s office, communications, meetings, and workflows.
  • Prioritize urgent and sensitive matters.
  • Schedule appointments and maintain calendars.
  • Receive visitors and manage telephone communications.
  • Organize high-level meetings.
  • Prepare meeting agendas and invitations.
  • Take meeting minutes and monitor follow-up actions.
  • Coordinate official travel, hotel bookings, appointments, and expense management.
  • Proofread and edit official documents.
  • Ensure office supplies, infrastructure, and logistical needs are adequately maintained.

2. Administrative Support

  • Organize administrative workflows within the section.
  • Establish correspondence tracking systems.
  • Manage incoming and outgoing correspondence.
  • Maintain filing and archiving systems.
  • Coordinate document storage and retrieval.
  • Prepare briefing materials for the Head of Section.
  • Draft responses to official enquiries.
  • Follow up on reports, briefing notes, and correspondence.
  • Manage administrative tasks, including:
    • Leave records
    • Attendance records
    • Budget monitoring
    • Meeting coordination
  • Coordinate with other sections to ensure smooth operations.
  • Orient newly recruited staff on administrative procedures.

Working Conditions

  • 37.5 working hours per week
  • Occasional evening and weekend overtime

Working Relationships

The Secretary will:

  • Support the Head of Infrastructure Section
  • Guide and assist other staff on administrative matters
  • Coordinate with internal departments
  • Maintain communication with external stakeholders
  • Provide administrative advice where necessary

Minimum Requirements

Skills

Applicants must demonstrate:

  • Excellent command of English and Kiswahili
  • Excellent oral and written communication skills

Experience

  • Minimum 4 years of professional experience as:
    • Secretary
    • Personal Assistant
    • Office Manager
    • Administrative Assistant
    • Or a similar position
  • At least 2 years of practical experience in filing and archiving
  • Proven experience managing documents and records

Desirable Experience

  • Experience in:
    • Diplomatic missions
    • Development agencies
    • Multicultural international organizations
  • Familiarity with European Union policies and procedures

Educational Qualifications

Applicants must possess either:

  • Bachelor’s Degree in Information and Records Management, or equivalent,

OR

  • Bachelor’s Degree in:
    • Secretarial Studies
    • Office Management
    • Business Administration
    • Or a related discipline

Additional Requirements

Applicants must:

  • Be medically fit for the role
  • Have full civil rights
  • Hold valid authorization to work in Tanzania
