Job Summary

The Study Hall Monitor and Academic Support Aide is responsible for supervising, organizing, and maintaining a productive academic environment for Grade 11 and 12 students during non-class periods.

The role supports student success within the demanding IB Diploma Programme by ensuring effective study habits, monitoring attendance, supporting student organization, and acting as a link between students, academic staff, and administrative teams.

The position works closely with:

  • IB Diploma Programme (DP) Coordinator
  • Guidance Counselors
  • Secondary Librarian
  • Secondary Teaching Faculty

Qualifications & Experience

Education

  • Bachelor’s Degree in:
    • Education
    • Psychology
    • Counselling
    • Administration
    • Social Sciences
    • Or another related field

Experience

  • Proven experience working with secondary-age students (Grades 9–12 or equivalent) in an educational, supervisory, or mentoring capacity.
  • Experience within an International Baccalaureate (IB) school environment is a significant advantage.

Professional Competencies

Candidates should demonstrate:

  • Excellent organizational skills and attention to detail, especially in attendance and data tracking.
  • Strong interpersonal and communication skills.
  • Ability to interact effectively with a diverse international community of students, parents, and staff.
  • A firm but empathetic approach to student supervision and behaviour management.
  • Proficiency in standard office software and school management systems.

Key Responsibilities

1. Study Hall Management & Student Supervision

Attendance and Safeguarding

  • Conduct mandatory attendance checks for Grade 11 and 12 students scheduled for Study Hall.
  • Monitor approximately 60 students daily, with peak loads of up to 40 students per block.
  • Report unexplained absences immediately to the Secondary Office.
  • Follow IST safeguarding procedures.

Creating a Productive Learning Environment

  • Maintain a quiet, focused, and purposeful Study Hall atmosphere.
  • Manage student behaviour and address disruptive activities.
  • Encourage responsible use of study time.

Facility Oversight

  • Ensure the Study Hall space remains organized.
  • Support students in using appropriate study areas, including:
    • Quiet individual study spaces.
    • Small-group collaboration areas.

2. Academic and Student Support

Study Skills Support

  • Encourage students to use independent study time effectively, including:
    • Extended Essay (EE) research.
    • Internal Assessments (IAs).
    • Exam preparation and revision.
  • Provide guidance on:
    • Time management.
    • Organization skills.
    • Effective study practices.

(This role does not involve subject content tutoring.)

Student Support Coordination

  • Connect students with appropriate academic and support resources.
  • Assist students with approved movement from Study Hall to:
    • Teacher meetings.
    • Library study sessions.
    • Other approved locations.

Resource Management

  • Work with the Secondary Librarian to ensure students have access to required digital and physical learning resources.

3. Administrative and Operational Support

Data Collection and Reporting

  • Track and report weekly on:
    • Study Hall attendance.
    • Student concerns.
    • Patterns of non-attendance.
    • Student engagement levels.
  • Provide useful information to the Secondary Vice Principal and DP Coordinator.

Administrative Support

When Study Hall is not scheduled or during planning periods, support the Secondary Office with tasks such as:

  • Assisting with large-scale testing logistics, including IB Mock Exams.
  • Providing short-term administrative coverage.
  • Preparing materials for school events and parent communications.

Other Duties

Perform any additional responsibilities assigned by the Principal.
