About the Position
The U.S. Mission in Tanzania is seeking eligible and qualified applicants for the Mail Room Clerk position in the Diplomatic Technology Office.
The Mail Room Clerk receives, dispatches, sorts, and distributes mail from multiple sources, including local and international mail, Diplomatic Post Office (DPO) mail, diplomatic pouch material, and commercial courier services. The position also provides customer service at the Mailroom service window.
The incumbent is supervised by the Mailroom Supervisor, with overall supervision by a designated Information Programs Center employee.
Major Duties and Responsibilities
1. Mail Services and Customer Support – 35%
- Sort and distribute incoming mail and prepare outgoing mail.
- Use local and international courier services as required.
- Provide friendly and helpful service at the mail window.
- Accept packages and assist customers with mailing kiosks and online shipping tools.
- Manage mailbox assignments and forwarding requests for arriving and departing staff.
- Respond to telephone and written inquiries concerning mail services.
- Maintain accurate records in accordance with Department requirements.
- Safeguard valuable goods passing through the mail facility.
2. Official Mail Handling – 25%
- Sort and route incoming official mail to the appropriate offices or individuals.
- Check outgoing mail for correct addressing and postage.
- Maintain logs for correspondence, packages, and pouch contents.
- Track mail using Department systems.
- Explain mail procedures to Embassy staff.
- Complete mail-screening training.
- Inspect incoming mail for safety and immediately report suspicious items to security officials.
- Coordinate with other offices to hand-deliver urgent items within the city, including documents for other government offices, event invitations, and special deliveries.
3. Recordkeeping – 15%
- Process and track diplomatic pouches sent to and from the Department of State and foreign postal agencies.
- Maintain accurate records of invoices and related paperwork.
- Ensure mail and packages move quickly and efficiently using private couriers when necessary.
- Report misuse of the pouch system to the appropriate offices.
- Enter data and track mail using barcode scanners, signature pads, and Department software.
4. Airport and Freight Coordination – 15%
- Work with airport security, ground crews, and customs officials to move pouch materials through the airport securely and efficiently.
- Travel to the airport as required to pick up pouches.
- Accompany U.S. officers and coordinate with airport staff.
- Locate misplaced mail in airport cargo areas.
- Drive vehicles for mail runs around the city and to and from the airport.
- Assist with maintaining mail service vehicles.
5. Other Duties – 10%
- Handle copying, collating, and binding requests using office equipment and software.
- Sort utility bills and prepare customs paperwork.
- Serve as a backup telephone operator.
- Answer and route calls.
- Maintain the internal phone directory for the Embassy and other agencies under Chief of Mission authority.
Note: The position occasionally requires driving official vehicles and must meet the standards outlined in 14 FAM 433.
Qualifications and Requirements
Education
Successful completion of high school (A’ Level) or local equivalent.
Experience
At least one (1) year of experience in:
- Customer care;
- Office assistance; or
- Clerical work.
Language Requirements
English: Level 3 – Good working knowledge in reading, speaking, and writing.
Kiswahili: Level 3 – Good working knowledge in reading, speaking, and writing.
Language skills may be tested.
Job Knowledge
Applicants should have:
- Knowledge of standard office practices.
- Knowledge of Department of State DPO, Pouch, and/or host country post regulations and procedures.
- Knowledge of local post offices, airports, and train facilities.
- Knowledge of local courier systems.
- Good understanding of the Mission’s organization, functions, personnel, and practices of agencies receiving mail services.
Skills and Abilities
Applicants should have:
- Good organizational skills.
- Thoroughness and accuracy in processing documentation.
- Ability to work effectively in a team environment.
- User knowledge of Microsoft Office Suite, including Excel, Word, and Outlook.
- Courteous and professional demeanor.
- Excellent customer service skills.
- Ability to work independently on a routine basis.
- A valid Class D and E driver’s license.
- Willingness to work flexible hours when required.
- Ability to lift up to 70 pounds.
- Ability to safely move up to 250 pounds with assistance from coworkers or mechanical devices.
Additional Requirements
All selected candidates must be able to obtain and hold:
- Security certificate.
- Medical certificate.
All selected candidates will be subject to a background investigation and pre-employment medical examination.
The selected candidate must be able to begin working within a reasonable period after receiving agency authorization and completing the required clearances and certifications.
