Position Overview
As Jaza scales across multiple countries, the Group Administrative Assistant serves as a key operational support anchor for leadership teams and the wider group.
Reporting to the Group HR Business Partner, this role focuses on coordination, logistics, and administrative excellence. The position requires a highly organized, proactive professional who ensures seamless execution of travel, events, and internal operations across regions.
The core mission is to anticipate needs, remove operational friction, and deliver precision in execution while maintaining high service standards.
Key Responsibilities
1. International Travel & Mobility
- Coordinate travel arrangements for leadership and group teams (flights, hotels, itineraries)
- Manage travel documentation (visas, insurance, emergency contacts, security briefings)
- Ensure smooth, safe, and well-organized international travel experiences
- Liaise with vendors and travel providers to resolve logistical issues proactively
- Manage procurement and relationships with travel service providers
2. Events Execution & Logistics
- Support planning and execution of company events, workshops, offsites, and meetings
- Provide logistical coordination, vendor sourcing, and budget tracking
- Ensure high attention to detail in event delivery
- Reconcile event expenses and manage post-event reporting
- Support conferences, celebrations, and group-wide engagements
3. Data Management & Operational Support
- Maintain and update the Group organizational structure
- Manage digital repositories, vendor databases, and contract records
- Support audit and compliance reporting requirements
- Maintain trackers for insurance, policies, and documentation
- Assist with internal operational projects and process improvements
- Support surveys and reporting initiatives
4. Group Administration & Coordination
- Support onboarding logistics for new hires (hardware, IT access, tools)
- Maintain strong communication with internal and external stakeholders
- Handle sensitive information with confidentiality and discretion
- Ensure smooth administrative support across group functions
- Provide coordination support to senior leadership and executives
