Position Summary
The Assistant Finance and Administration Officer will support the smooth day-to-day operations of AAHEFA by providing administrative, clerical, financial, and operational support.
The position plays a key role in enhancing workplace efficiency through effective management of office systems, records, logistics, and departmental resources within a dynamic and fast-paced environment.
Key Responsibilities
1. Office Administration
The successful candidate will:
- Perform daily filing activities (physical and electronic).
- Type and prepare official correspondence.
- Scan and archive institutional documents.
- Conduct accurate data entry and records management.
2. Front Desk and Communication
The officer will:
- Serve as the first point of contact for visitors and telephone inquiries.
- Draft, review, and organize:
- Professional emails
- Letters
- Reports
- Ensure effective communication within the organization and with external stakeholders.
3. Meeting and Event Coordination
The officer will assist with:
- Scheduling appointments and meetings.
- Preparing meeting agendas.
- Taking and documenting meeting minutes.
- Coordinating logistics for:
- Workshops
- Seminars
- Conferences
- Institutional events
4. Logistics and Travel Management
Responsibilities include:
- Managing travel arrangements for staff and stakeholders, including:
- Flight bookings
- Hotel reservations
- Monitoring office supplies and inventory.
- Supporting maintenance of office equipment and facilities.
5. Procurement Support
The officer will:
- Assist in obtaining quotations from suppliers.
- Support procurement documentation processes.
- Maintain and update the organization’s fixed asset register.
6. Human Resource Support
The officer will:
- Assist in monitoring and updating staff leave records.
- Support administrative HR documentation and record-keeping activities.
Qualifications and Experience
Education
Applicants must possess a Bachelor’s degree in one of the following fields:
- Accounting
- Business Administration
- Management
- Public Administration
- Finance
- Related disciplines
Experience
Applicants should have:
- At least one (1) year of relevant work experience or internship exposure in administration, finance, accounting, or related roles.
Technical Skills
Applicants must demonstrate:

- Familiarity with cloud-based management tools such as:
