COMPANY OVERVIEW
Elegex Logistics Limited is a premier regional transport and logistics provider specializing in cross-border heavy haulage along the Central and Northern Corridors, moving critical commodities such as copper cathodes, mineral concentrates, and sulphur.
As we formalize and expand our corporate workflows, we are seeking a professional, highly organized Office Secretary to manage our front-office operations and support critical data-entry pipelines at our headquarters.
KEY RESPONSIBILITIES
Front Office & Administration
- Manage daily front-desk operations.
- Receive corporate guests and visitors.
- Handle official phone traffic.
- Process incoming and outgoing physical correspondence.
POD Processing & Uploads
- Receive physical Proof of Delivery (POD) documents from arriving fleets.
- Scan and upload documents into the company’s central tracking system within established turnaround timelines.
Cross-Departmental Coordination
- Work closely with the Documentation Officer to verify that physical trip files and delivery notes match digital manifests before final archiving.
Records Management
- Organize, maintain, and secure hard-copy and digital administrative files.
- Maintain office logs and operational documentation at the head office.
Executive Support
- Provide administrative assistance and data-entry support to the management team.
- Support seamless day-to-day office operations.
REQUIREMENTS & QUALIFICATIONS
Education
- Diploma or Bachelor’s Degree in:
- Secretarial Studies
- Office Management
- Business Administration
- Or a related field
Experience
- Previous experience as:
- Office Secretary
- Front-Desk Coordinator
- Administrative Assistant
- Experience within a logistics, clearing and forwarding, or transport environment is highly preferred and will be considered an added advantage.
Technical Skills
- Strong proficiency in Microsoft Office applications.
- Knowledge of document scanning workflows.
- Familiarity with digital filing systems and enterprise tracking platforms.
