BTFL is seeking a competent, dynamic, and self-motivated professional to fill the position of Administration and Public Relations Manager.


Position Summary

The Administration and Public Relations Manager will oversee and manage all administrative operations, ensuring efficient office management, regulatory compliance, coordination of travel and accommodation services, security management, staff support services, stakeholder engagement, and cost-effective administration functions.


Key Responsibilities

1. Administrative Management

  • Oversee daily office operations and administration activities.
  • Maintain organizational records and documentation.
  • Manage office supplies and company assets.
  • Supervise administrative staff.
  • Ensure cost-effective administrative processes.

2. Security Management

  • Coordinate office and facility security systems.
  • Supervise security personnel and service providers.
  • Monitor access control and security incidents.
  • Provide security guidance to visitors and staff.

3. Permits and Visa Management

  • Manage work permits, visas, and related documentation.
  • Ensure compliance with immigration regulations.
  • Coordinate timely permit and visa renewals for expatriates and visitors.

4. OSHA / Health & Safety Compliance

  • Ensure compliance with occupational health and safety regulations.
  • Conduct workplace inspections and risk assessments.
  • Deliver health and safety training.
  • Maintain incident records and implement corrective actions.

5. Travel Management (Flights & Logistics)

  • Coordinate local and international travel arrangements.
  • Manage flight bookings, itineraries, and travel documentation.
  • Ensure compliance with company travel policies.
  • Promote cost-efficient travel management.

6. Accommodation & Residential Management

  • Manage accommodation arrangements for staff and visitors.
  • Oversee company residences and facilities.
  • Coordinate maintenance services and utility management.
  • Liaise with landlords to ensure safe and comfortable living conditions.

7. Vendor & Stakeholder Management

  • Manage relationships with vendors, contractors, government agencies, NGOs, and other stakeholders.
  • Negotiate contracts and service agreements.
  • Monitor vendor performance and service delivery standards.

8. Compliance & Reporting

  • Ensure adherence to company policies and legal requirements.
  • Prepare operational and administrative cost reports.
  • Support audits, inspections, and compliance reviews.

9. Public Relations

  • Maintain productive relationships with:
    • Government ministries
    • Regulatory authorities
    • Private sector institutions
    • External partners and stakeholders
  • Support organizational representation and smooth operational coordination.

Safeguarding Responsibilities

  • Ensure the safety of team members from harm, abuse, neglect, harassment, and exploitation.
  • Promote and implement safeguarding policies and standards throughout the organization.
  • Provide guidance and support on safeguarding matters.
  • Follow safeguarding reporting procedures and encourage others to do the same.

Qualifications and Experience

Education

  • Bachelor’s Degree in:
    • Business Administration
    • Management
    • Or a related field

Experience

  • Minimum 5–8 years of experience in administration or operations management.
  • Proven experience in:
    • Visa and permit processing
    • Travel coordination
  • Knowledge of Occupational Safety and Health Authority (OSHA) standards.
