Position Description
Bulyanhulu Gold Mine is seeking to recruit an Administration Officer to join its team.
The Administration Officer will be responsible for coordinating and supporting daily administrative, travel, transportation, and office operations to ensure efficient and professional business support services.
The role supports staff and contractors across:
- Bulyanhulu Mine
- North Mara Gold Mine
- Buzwagi Gold Mine
- Regional teams and executive offices
The position ensures travel arrangements, office facilities, safety requirements, and administrative services are managed effectively and in accordance with company standards.

Key Responsibilities
Travel Coordination
- Receive and process travel requests.
- Confirm travel purpose, dates, and approvals.
- Advise employees on travel routes and cost-effective options.
- Ensure all travel arrangements comply with company policies.
- Prepare daily travel itineraries, including:
- Flights
- Accommodation
- Ground transportation
- Book and confirm:
- Flight tickets
- Railway tickets
- Hotel reservations
- Airport transfers
- Coordinate with travel agents, airlines, hotels, and transport providers.
- Supervise drivers and ensure smooth travel experiences.
- Prepare transfer schedules for:
- Airports
- Hotels
- Mine operations
- Track ticketing deadlines, fare changes, and cancellations.
- Maintain travel records and staff movement registers.
- Prepare charter flight manifests and coordinate related logistics.
- Monitor travel advisories and communicate risks or restrictions.
- Track employee movements during field assignments for safety purposes.
Event and Logistics Support
- Coordinate travel and logistics for:
- Recruitment activities
- Training programs
- Workshops
- Conferences
- Support venue arrangements and catering requirements.
Office Administration
- Support administrative activities for mine sites and regional executives.
- Maintain office cleanliness, quality standards, and facilities.
- Manage office consumables and access controls.
- Ensure health, safety, and compliance standards are maintained.
- Monitor and replenish office first aid kits.
Meeting and Visitor Management
- Coordinate:
- Boardroom bookings
- Meeting room setup
- Refreshments
- Visitor support services
- Support executives, visitors, and stakeholders during office visits.
- Supervise reception and security personnel.
Records Management
- Maintain electronic and physical filing systems.
- Ensure proper documentation and record keeping.
- Perform additional administrative duties assigned by management.
Qualification Requirements
Education
- Diploma in:
- Business Administration
- Office Administration
- Travel and Tourism
- Logistics
- Or a related field
Computer Skills
- Proficiency in:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
Experience Requirements
- Minimum of 2 years’ experience in:
- Administration
- Travel coordination
- Transportation logistics
- Office administration support
Skills and Competencies

- Strong Information Technology skills.
- Proficiency in Microsoft Office applications.
- Ability to maintain administrative databases and records.
Communication Skills
- Excellent written and verbal communication skills in:
