Role Purpose

The Branch Operator is responsible for managing branch operations, including inventory control, warehouse operations, logistics support, sales proceeds management, banking, credit control, and branch accounting.

The role ensures accurate inventory records, secure handling of company funds, compliance with company policies, and efficient warehouse and distribution operations while maintaining high standards of product quality and warehouse hygiene.


Key Responsibilities

1. Inventory Management

  • Maintain accurate inventory records.
  • Conduct daily stock counts and reconciliations.
  • Ensure physical stock matches system records.
  • Record all stock movements accurately.
  • Investigate and report inventory variances.
  • Ensure proper storage and custody of inventory.
  • Maintain warehouse organization and cleanliness.
  • Apply the FIFO (First-In, First-Out) principle to minimize product write-offs.
  • Ensure warehouse hygiene and product quality standards are maintained.

2. Warehouse Operations

  • Receive incoming goods and POSM materials.
  • Verify deliveries for quantity and quality.
  • Inspect products for damages or discrepancies.
  • Organize stock efficiently.
  • Load and unload inventory.
  • Issue stock according to company procedures.
  • Maintain complete warehouse documentation.
  • Ensure compliance with warehouse safety regulations.

3. Sales Proceeds & Cash Management

  • Securely collect daily sales proceeds.
  • Reconcile sales collections with route settlements.
  • Bank collected funds daily.
  • Ensure all bank deposits are supported by endorsed deposit slips.
  • Report daily cash collections.
  • Maintain proper custody of cash and financial documents.

4. Credit Control

  • Monitor customer payment terms.
  • Enforce approved credit limits.
  • Collect cash top-ups for excess credit.
  • Report any payment anomalies.
  • Support debt collection activities.
  • Ensure compliance with Branch Accounting Manual (BAM).

5. Stock & Sales Monitoring

  • Monitor:
    • Stock movement
    • Daily sales
    • Route settlements
    • Dealer performance
  • Analyze sales trends.
  • Optimize product distribution.
  • Reconcile bank statements with branch reports.
  • Immediately report discrepancies.

6. Customer Support

  • Assist Sales Representatives by:
    • Initiating sales orders by phone.
    • Gathering customer information.
    • Recording customer requests.
    • Processing sales orders.
  • Conduct market surveys.
  • Prepare reports identifying market gaps.
  • Monitor competitor activities.
  • Report market intelligence to Marketing & Sales Management.

7. Sales Process Compliance

  • Ensure all sales proceeds are:
    • Verified
    • Reconciled
    • Secured
    • Banked on time
  • Prepare and submit daily Sales Return Transactions (SRTs) in SAP.
  • Ensure compliance with all Branch Accounting Manual (BAM) procedures.

8. TME System Compliance

Ensure proper use of the TME system by:

  • Issuing stock to Sales Representatives using approved documentation.
  • Printing and signing van replenishment documents.
  • Ensuring proper collection methods.
  • Synchronizing TME data daily.
  • Processing:
    • Stock adjustments
    • Promotions
    • Credit notes
  • Completing route settlements before issuing new stock.
  • Ensuring compliance with company credit terms.

9. Documentation Management

Maintain complete and accurate records including:

  • Sales invoices.
  • Payment documents.
  • Route settlement documents.
  • Stock issue and return records.
  • Cheques.
  • Deposit slips.
  • Credit notes.
  • Audit documentation.

Ensure all documents are properly signed, filed, and securely stored.


10. Reporting

Prepare and submit:

  • Daily cash transaction reports.
  • Weekly closing stock reports.
  • Monthly closing stock reports.
  • Monthly cash collection reports.
  • Inventory reconciliation reports.

11. Other Duties

  • Perform additional responsibilities assigned by management.

Qualifications

Applicants should possess:

  • Bachelor’s Degree in:
    • Business Administration

    • Commerce or another related commercial discipline
