Job Title: HR Manager (School)

Job Summary:
The Human Resources Manager is responsible for managing and implementing the school’s HR strategy, policies, and operations. The role ensures full compliance with local labor laws and alignment with AEFE requirements, while supporting the overall efficiency and development of the organization.
Key Responsibilities
Human Resources Strategy & Policy
● Management and implementation of the human resources strategy and various HR related policies
● Design and continuous improvement of HR systems aligned with best practice and organizational needs
● Develop, document, and maintain HR policies and procedures
● Ensure HR practices remain fully compliant with local regulations and aligned with AEFE requirements
● Regularly review and update HR procedures in line with legal, organizational, and operational changes
● Continuously improve HR processes to ensure efficiency and modern best practice standards
Recruitment & Staffing
● Management of the recruitment process and provision of recruitment support
● Preparation of job descriptions, interview coordination, and onboarding/offboarding processes
● Support workforce planning in collaboration with school leadership
Payroll & Benefits Administration
● Prepare payroll and oversee the entire payroll process.
● Management of administrative tasks related to employees, including but not limited to work permits, medical insurance, NSSF, and other statutory obligations
● Coordination with external providers and authorities to ensure accurate and timely payroll and benefits processing
Contracts & Legal Compliance
● Preparation, drafting, and follow-up of employee contracts
● Control and validation of all contracts used by the school in collaboration with supervisors and relevant departments
● Role of information and advisory support regarding labour law and HR-related contractual matters. Interact with lawyers whenever necessary
● Management and follow-up of employer obligations, ensuring compliance with HR regulations
● Ensure compliance with data protection and confidentiality standards (e.g., employee personal data management)
Training & Development
● Management of the training plan
● Identification of staff training needs and coordination of professional development programs
Administrative & Financial Support
● Accounting backup support
● Management of payment processing backup
● Support budget monitoring related to HR and administrative expenses
Additional Responsibilities
● Perform other duties as assigned by supervisors
● Support employee relations, conflict resolution, and disciplinary procedures when required, including the preparation of warning letters and any other documentation related to disciplinary measures, while ensuring fairness, consistency, and compliance with applicable labour laws and internal policies
● Contribute to safeguarding and child protection compliance in line with school policies
● Foster a positive, trust-based working environment within the school, strengthening confidence in management.
● Ensure clear, transparent, and proactive communication with all employees.
Qualifications & Skills
● Minimum of 7 years’ experience in Human Resources
● Bachelor’s degree in Human Resources or a related field
● Fluent written and spoken English; French and Swahili are an advantage
● Strong knowledge of labour laws, regulations, and HR procedures
● Experience in taxes, social contributions, and statutory compliance
● Strong analytical and computer skills, especially MS Excel and MS Word
● Experience with HR information systems (HRIS) is an advantage
● High level of accuracy, rigor, and organizational skills
● Ability to work independently, meet deadlines, and follow procedures
● Strong prioritization and methodical working approach
● Ability to work in a multidisciplinary and multicultural environment
● Professional punctuality and respect for schedules
● Strong sense of confidentiality and professional discretion
● Ability to interact professionally with employees, management, and external suppliers
Contract :
Fixed-term contract of one year
Working Hours :
Normal working hours shall not exceed 45 hours per week. The work schedule shall be determined by the manager.
