Position Overview

The ICT and Logistics Officer plays a dual role in technical systems administration and operational logistics management.

The role is responsible for managing the full lifecycle of educational hardware, including:

  • Digital tablets
  • Multimedia accessories
  • ICT equipment

The officer will oversee:

  • Inbound and outbound logistics
  • Device deployment and tracking
  • Equipment maintenance coordination
  • Inventory and asset management
  • ERPNext administration
  • Fleet management operations

The position also ensures accurate documentation, reporting, and operational accountability across all logistics and ICT systems.


Key Duties and Responsibilities

A. Hardware Swap & Supply Chain Logistics

Field Collection

  • Conduct scheduled maintenance visits to schools.
  • Retrieve faulty tablets and accessories.
  • Log all field collections into CommCare with accurate fault categorizations.

Warehouse Intake & Diagnostics

  • Receive faulty equipment at the central warehouse.
  • Update inventory balances in ERPNext.
  • Record serial numbers and diagnostic information.

Buffer Stock Management

  • Distribute certified replacement tablets and accessories.
  • Maintain real-time inventory updates in ERPNext.

Partner Supply Coordination

  • Prepare advanced repair shipments for Imagine Worldwide.
  • Process incoming replacement stock from the central warehouse.

B. Equipment Diagnostics & Technical Repairs

Mechanical Repairs

  • Perform basic hardware repairs on tablets and accessories.
  • Remove broken AUX tips using specialized repair tools.

Audio Testing & Certification

  • Conduct audio functionality tests using systems such as OneCourse.
  • Verify proper headset and speaker functionality.

Display & Touch Testing

  • Diagnose screen issues including:
    • Flickering
    • Vertical lines
    • Dead touch points
  • Route severely damaged devices for vendor repair.

Accessory Restoration

  • Repair and reinforce:
    • Headphones
    • Network routers
    • USB charging systems

Asset Lifecycle Management

  • Execute device commissioning and decommissioning in ERPNext.

C. Fleet Management & Field Operations

Preventative Fleet Maintenance

  • Coordinate:
    • Vehicle servicing
    • Oil changes
    • Tire rotations
    • Emergency mechanical repairs

Fuel & Mileage Monitoring

  • Maintain and audit vehicle logbooks.
  • Reconcile mileage records with fuel receipts.

Compliance Management

  • Ensure all fleet assets maintain:
    • Insurance coverage
    • Roadworthiness certifications
    • Speed governor certifications
    • Municipal transport permits

Safety & Accountability

  • Enforce pre-trip inspections.
  • Ensure mandatory helmet use for motorcycle teams.
  • Report and document accidents or breakdowns promptly.

Required Qualifications & Technical Skills

Academic Qualifications

  • Diploma in:
    • Computer Science
    • Information Technology
    • Computer Engineering
    • Related technical disciplines
  • Bachelor’s Degree is an added advantage.

Professional Experience

  • Minimum 2–3 years of experience in:
    • Technical support
    • ICT helpdesk operations
    • Inventory management systems
    • IT asset management
    • Field technical support

Technical Competencies

Software & Systems

  • Strong experience with:
    • ERPNext
    • CommCare
    • Inventory database systems

Operating Systems & Deployment

  • Familiarity with:
    • Android systems
    • Linux environments
    • Offline educational applications

Hardware Support

  • Experience with:
    • Electronic repair tools
    • Device troubleshooting
    • Hardware maintenance

Logistics & Fleet Operations

  • Basic knowledge of:
    • Vehicle maintenance
    • Fleet operations
    • Asset tracking and depreciation systems

Key Performance Indicators (KPIs)

Data Accuracy & Timeliness

  • 100% update of all swaps, allocations, and decommissioning records in ERPNext and CommCare within 24 hours.

Mean Time to Triage (MTTT)

  • Complete basic hardware repairs within 3 business days.

Fleet Readiness

  • Maintain at least 95% fleet operational availability.

Stock Accuracy

  • Maintain inventory discrepancy below 0.5% during audits.
