About the Role

The key purpose of this role is to ensure the accurate control, reporting, reconciliation, and governance of all inventories across the supply chain by maintaining alignment between physical stock movements and Syspro records.

The role is responsible for inventory accuracy, stock count compliance, shipment reconciliation, packaging inventory management, pallet control, product quality adherence, and effective people management to support operational excellence and business performance.

Key Roles and Responsibilities

Inventory Management and Reporting

  • Ensure all inventory governance processes and documentation are followed to accurately reflect physical inventory movements in Syspro.
  • Manage and execute all pre-stock take activities and documentation.
  • Print, review, and action pre-stock take reports.
  • Ensure all known inventory adjustments are processed before stock counts commence.
  • Verify that the Goods in Transit (GIT) account is reconciled and cleared prior to stock counts, with all valid outstanding entries approved by relevant managers.
  • Facilitate and participate in daily, weekly, and monthly stock counts of raw materials, finished goods, returnable containers and pallets.
  • Ensure stock counts are conducted according to company standards, procedures, and audit requirements.
  • Configure, maintain, and support handheld inventory devices where applicable.
  • Investigate and resolve stock variances promptly.
  • Process all authorized inventory adjustments in the correct general ledger accounts.
  • Prepare and maintain stock count packs and obtain sign-off from relevant stakeholders.
  • Report monthly on inventory policy compliance, identify gaps, and implement corrective actions to improve adherence.
  • Monitor inventory accuracy and drive continuous improvement initiatives.

Shipment Reconciliation and Logistics Support

  • Ensure all Post Goods Issues (PGIs) are processed accurately and on time.
  • Verify that all delivery notes, invoices, and transport documentation are accounted for and filed.
  • Review and sign off missing and unsigned invoice registers daily.
  • Ensure daily load plans and gate registers are reconciled and maintained.
  • Investigate and resolve delivery, invoicing, and shipment discrepancies.
  • Monitor and follow up on outstanding T1/GIT shipments.
  • Confirm and reconcile inter-depot inventory movements on a monthly basis.
  • Ensure breakages, shortages, and missing bottle recharges are processed accurately and allocated to the correct accounts.

Packaging Inventory Management

  • Reconcile inventory issued to and received from the packaging department daily.
  • Conduct weekly cullet reconciliations with the packaging team.
  • Perform reconciliations between issued containers and packed production volumes.
  • Investigate and resolve packaging inventory variances.

Distributor Stock Management

  • Ensure missing, broken, and foreign bottle surveys are conducted according to company policy.
  • Capture survey results accurately and timeously.
  • Communicate shortages, foreign stock, and breakage findings to customers.
  • Ensure customers are charged where applicable.
  • Verify that all returns are correctly processed and credited.
  • Ensure inventory balances correctly reflect returned pallets and returnable glass.
  • Complete and file daily reconciliations with the Logistics Manager.

Pallet Management and Reporting

  • Manage pallet destruction and repair processes with full cost accountability.
  • Monitor contractor performance and ensure accurate reconciliation and payment processing.
  • Ensure sufficient pallet availability to support production and distribution requirements.
  • Track pallet quantities at customer sites and time spent in trade.
  • Conduct weekly pallet counts and reporting.
  • Review and update pallet management SOPs annually.
  • Develop and manage annual pallet repair budgets and improvement plans.
  • Track and report key pallet performance indicators.

Product Quality and Compliance

  • Ensure the First Expiry First Out (FEFO) principle is consistently applied across warehouse operations.
  • Generate and distribute bin-pulling sheets to support stock rotation.
  • Monitor stock age and obtain the necessary approvals for concessions.
  • Ensure full compliance with product recall procedures.
  • Physically isolate and system-block non-conforming or restricted stock in Syspro.
  • Participate in weekly quality review meetings with the Trade Quality Specialist.
  • Analyze customer quality complaints and feedback.
  • Develop, implement, and close corrective actions to improve product quality and customer satisfaction.

People Leadership and Team Development

  • Align team goals, performance expectations, and operating routines to support continuous improvement.
  • Conduct monthly one-on-one performance discussions and development reviews.
  • Foster a positive employee relations climate through regular stakeholder engagement meetings.
  • Ensure open and effective communication across teams and departments.
  • Drive employee engagement initiatives and implement actions arising from survey feedback.
  • Support talent acquisition, succession planning, and capability development.
  • Conduct performance reviews and implement performance improvement plans where necessary.

Minimum Requirements

  • Diploma or Bachelor’s degree in Supply Chain Management, Logistics Management, Operations Management, Warehouse Management, or a related field.
  • Minimum of 2–3 years’ experience in inventory control, warehousing, or supply chain operations.
  • Experience working within an FMCG, manufacturing, logistics, or distribution environment will be advantageous.
  • Proven experience managing stock counts, reconciliations, and inventory accuracy initiatives.
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, Outlook and Teams.
  • Strong Syspro ERP knowledge and experience.
  • Understanding of inventory governance, stock control, and reconciliation processes.
  • Knowledge of FEFO principles and quality management requirements.
