Job Purpose
To manage and coordinate all outbound logistics activities to ensure efficient, cost-effective, and timely delivery of finished goods to customers and distributors. The role ensures proper documentation, vehicle scheduling, compliance with transport regulations, and customer satisfaction through smooth order fulfillment.
Key Responsibilities
Dispatch & Delivery Management
- Plan and schedule dispatch of finished goods based on sales orders and delivery requirements.
- Coordinate vehicle allocation and loading to optimize trips and costs.
- Monitor delivery progress to ensure goods reach customers on time and in full.
- Ensure customer orders are dispatched accurately and within agreed timelines.
- Resolve delivery-related issues and communicate proactively with sales and customer service teams.
- Monitor customer satisfaction with delivery services and escalate concerns where necessary.
Transport & Fleet Coordination
- Coordinate company-owned fleet and contracted transporters for outbound deliveries.
- Monitor transporter performance in terms of cost, timeliness, and service quality.
- Ensure vehicles comply with legal and safety requirements.
Documentation & Compliance
- Prepare and verify delivery documents, including:
- Delivery notes
- Waybills
- Invoices
- Loading sheets
- Ensure compliance with company policies, customs requirements (where applicable), and statutory regulations.
- Maintain accurate records of dispatched goods, deliveries, and transporter contracts.
Cost Control & Optimization
- Monitor transport costs against budget and identify opportunities for cost savings.
- Optimize load planning and route planning to minimize costs and delays.
- Track and report logistics expenses for management review.
Inventory & Warehouse Coordination
- Liaise with warehouse staff to ensure finished goods are available for dispatch.
- Reconcile dispatched goods with inventory records.
- Minimize errors, damages, and losses during loading and transportation.
Reporting & Continuous Improvement
- Prepare reports on dispatch performance, transporter reliability, and delivery efficiency.
- Identify process bottlenecks and recommend improvements in outbound logistics.
- Support implementation of digital tools such as ERP and transport tracking systems.
Requirements
Education
- Bachelor’s Degree in:
- Procurement and Logistics Management
- Stores Management
- Supply Chain Management
- Or a related field
Added Advantage
- Registration with the Procurement and Supplies Professionals and Technicians Board (PSPTB).
Experience
- 5–7 years of relevant procurement/logistics experience.
- At least 2 years in a senior or specialist role.
- Minimum 5 years of experience in a similar position.
- Experience in manufacturing or FMCG environments is preferred.
