Job Purpose

The Procurement Officer will be responsible for managing procurement activities, supplier relationships, tender applications, inventory control, and procurement reporting to support efficient business operations.


Key Responsibilities

1. Procurement Management

  • Manage company purchasing activities and procurement processes.
  • Source, evaluate, and negotiate with suppliers for quality goods and services at competitive prices.
  • Prepare:
    • Purchase requisitions
    • Purchase orders
    • Procurement documentation
  • Monitor delivery schedules and ensure timely supply of goods and services.
  • Maintain accurate procurement records and supplier databases.
  • Ensure compliance with procurement policies and procedures.

2. Tender Management

  • Identify and apply for tenders related to tracking services and other business opportunities.
  • Prepare tender documents, quotations, and supporting documentation.
  • Coordinate with management to meet tender submission deadlines.
  • Follow up on submitted tenders and maintain tender records.

3. Supplier & Contract Management

  • Build and maintain strong supplier relationships.
  • Evaluate supplier performance and recommend improvements.
  • Support contract and service agreement negotiations.

4. Store & Inventory Management

  • Assist in storekeeping and inventory control activities.
  • Monitor stock levels and coordinate replenishment.
  • Maintain records for:
    • Stock received
    • Stock issued
    • Available balances
  • Conduct periodic stock checks and reconciliations.

5. Reporting & Documentation

  • Prepare procurement and inventory reports for management.
  • Maintain organized procurement and store filing systems.
  • Support audits through proper documentation management.

Qualifications & Requirements

Education

  • Bachelor’s Degree in:
    • Procurement
    • Supply Chain Management
    • Business Administration
    • Related field

Experience

  • Proven experience in:
    • Procurement
    • Tender management
    • Storekeeping
    • Inventory management

Skills & Competencies

  • Strong negotiation and communication skills.
  • Knowledge of procurement procedures and inventory practices.
  • Proficiency in Microsoft Office applications.
  • Ability to work under pressure and meet deadlines.
  • High integrity and attention to detail.
